About The Role

The Accounts Officer provides financial, administrative and clerical support by ensuring expenses are reconciled and correspond with purchase orders in an efficient, timely and accurate manner. This role is fulltime role, Monday to Friday based at our Rutherford facility.

Responsibilities Include

Manage end-to-end Accounts Payable and Accounts Receivable functions

Process supplier invoices, and payment runs accurately and on time.

Prioritise invoices according to due dates adhering to payment terms

Prepare and issue invoices to clients, monitor accounts, and follow up on outstanding payments.

Research and resolve invoice discrepancies and issues

Reconcile supplier statements, bank accounts, and resolve discrepancies.

Coordinate procurement of goods and services, including negotiating with suppliers to achieve cost efficiencies.

Raise purchase orders in line with company policies and procedures

Work closely with project teams and management to ensure alignment of financial and procurement requirements.

Monitor stock levels and coordinate timely delivery of materials to project sites.

Conduct regular market research to identify cost-saving opportunities and new suppliers.

Maintain accurate records and ensure compliance with company policies and accounting standards, including client files and general filing

Assist staff members when required

Set up new suppliers in CHEOPS

Provide cover for Reception, Administration, Accounts Payable, Accounts Receivable, as required

Data Entry & Reporting – Maintaining up-to-date financial records and assisting with month-end and year-end reporting, produce detailed reports on accounts

Stakeholder Communication – Liaising with internal teams, suppliers, and customers to ensure efficient payment and collection processes

Match all invoices with corresponding purchase orders

Review all invoices and distribute accordingly for approval

Liaise with clients daily

Essential skills and experience

Experience in Accounts Payable and/or Receivable and /or Procurement within a finance team

Proficiency in accounting software CHEOPS (Xero, MYOB, SAP, or similar)

Strong attention to detail and accuracy in processing financial transactions

Excellent communication skills to liaise with internal and external stakeholders, both written and verbally

Ability to manage multiple priorities, and meet conflicting deadlines.

Ability to manage deadlines in a high-volume, fast-paced environment

A proactive and problem-solving mindset to identify and resolve discrepancies

Computer literate with advanced MS Office Skills

Commercial and business awareness

A strong analytical mind and a desire to probe into data

Certificate in business admin or bookkeeping
