Record Keeping, Documentation Communication

· Maintain records of meetings, financial documents, and correspondence.

· Prepare notices, circulars, minutes of meetings, and reports.

· Act as a liaison between residents/owners and the management team. Answer calls and respond to emails within 24hr timeframe.

Invoice Processing, Accounts Tracking. Budget Preparation

· Assist with issuing invoices and receipts for maintenance fees and other charges.

· Help monitor outstanding payments and prepare reminders.

· Assist the Strata Manager in drafting the annual budget and financial reports.

Site Inspections Maintenance Coordination, Vendor Management

· Conduct an initial visit of common areas and facilities to familiarise.

· Act on issues reported and coordinate with contractors or maintenance teams for repairs and servicing.

· Assist in obtaining quotations, evaluating service providers, and monitoring ongoing works.

AGMs & SGMs, Owner Liaison

· Help organise Annual General Meetings (AGMs) and Special General Meetings (SGMs).

· Assist in notifying owners of upcoming meetings and capture the decisions recorded.

· Implementing resolutions passed during meetings.

Complaints Handling, Information Dissemination

· Log and escalate complaints or feedback from residents for further action by the committee. Assist, where possible, in obtaining a resolutions to the issue.

· Ensure that all residents are informed of relevant changes, notices, or maintenance schedules.
