Sunflower Services is looking for a warm and organised Reception and Administration Assistant to be the welcoming face of our Newcastle office and provide essential support across our three locations.
About the Role
This full-time role is perfect for someone who enjoys being the first point of contact and thrives in a dynamic, people-focused environment. You will not only support the day-to-day running of our Newcastle office, but also assist in coordinating communication and operations with our Burleigh and Adelaide teams.
You will regularly communicate with participants, helping with their enquiries and ensuring they receive responsive, friendly service, no matter where they are based.

Key Responsibilities:
Reception & Participant Communication
Greet all visitors warmly and professionally
Answer and direct phone calls across offices
Communicate regularly with participants, responding to enquiries and providing helpful support
Administrative Support
Assist with meeting scheduling, document preparation, and general office tasks
Manage incoming/outgoing mail and courier coordination
Assistance creating ID badges for support staff
Office & Supplies Coordination
Keep reception, kitchen, and shared spaces clean and stocked
Order stationery and essentials for our offices
Liaise with suppliers for branded materials and stock
Multi-Location Coordination
Facilitate effective communication across Newcastle, Burleigh, and Adelaide teams
Maintain up-to-date contact directories and internal notices
Provide backup support during peak periods or staff leave
What We’re Looking For:
Qualifications & Requirements
Completion of Year 12 (minimum)
Certificate III or IV in Business Administration (desirable)
Experience
Customer service or reception experience (preferred)
Comfortable managing phone systems and visitor enquiries
Experience with multi-site communication and admin support is a bonus
Skills
Clear, professional verbal and written communication
Strong time management and multitasking
Intermediate skills in Microsoft Office and calendar/email tools
Friendly, proactive, and reliable
