NDIS Administration Officers – Payables & Receivables
Location: Helensvale, Gold Coast
Employment Type: ABN
Hours: 16 hours per week x 2
About the Role:
We are seeking a highly organised and detail-oriented Administration Officers to support our finance and operations team with a focus on accounts payable, receivable, and general administration. This role is vital in ensuring the smooth financial operation of our NDIS services and supporting participant experience through accurate billing and prompt payments.
Key Responsibilities:
Accounts Payable:
Process and code supplier invoices accurately and on time
Reconcile supplier statements and resolve discrepancies
Maintain records of purchases and payments
Manage outgoing payments to contractors and providers
Accounts Receivable:
Prepare and issue invoices to NDIS participants and plan managers
Monitor outstanding balances and follow up on overdue accounts
Reconcile payments received with invoices
Liaise with NDIS portal and plan managers regarding claims and remittances
General Administration:
Maintain accurate client and financial records in accounting systems (Xero / Connect Teams)
Assist with onboarding new contractors or support workers (e.g. collecting bank details, ABNs, insurances) any other duties commensurate with the role.
Respond to finance-related inquiries from participants, families, support coordinators, and plan managers
Support audits and compliance reporting as required
File, scan, and archive documentation in line with data protection policies
Skills & Experience Required:
Proven experience in administration, accounts payable/receivable, or finance (NDIS or healthcare sector highly desirable)
Proficiency in Microsoft Office (especially Excel), Xero, Connect Teams or similar accounting systems
Experience working with the NDIS Portal, PRODA, or invoicing tools (desirable)
Excellent attention to detail and accuracy in data entry
Strong communication skills and ability to build rapport with clients and providers
Ability to work independently and manage competing deadlines
Desirable:
Prior experience in the NDIS sector or disability support industry
Understanding of NDIS pricing arrangements and service bookings
Certificate III or IV in Business Administration, Finance, or related field
