Summary:
As the Project Coordinator within the Onboarding and Group Projects team, you will play a key role in leading, coordinating, and supporting the delivery of diverse, business-critical projects across the Wizard Professional Services (WPS) network. This role combines project coordination, stakeholder communication, and process management, with a focus on driving outcomes across both pharmacy-related initiatives and broader business projects.
Key Responsibilities:
Coordinate the end-to-end delivery of allocated projects, including pharmacy projects (such as new site openings, relocations or changes of ownership) and non-pharmacy business initiatives.
Support the review, development and implementation of project templates, workflows, and documentation standards.
Facilitate clear and consistent communication between all project stakeholders, ensuring that expectations, responsibilities and next steps are well understood.
Work with the Head of Onboarding & Group Projects to discover, design, test, and implement new functionalities for WPS and WBS business platforms.
Participate in cross-functional initiatives and support business-wide projects that extend beyond pharmacy where required.
Responsible for the development and updating of process documentation and training materials
Develop action plans to address emerging risks, resource gaps, or process inefficiencies.
Assist in the testing, rollout and adoption of new tools, platforms and process improvements that support efficient project delivery across the WPS and WBS teams.
The role will be assigned projects from across the portfolio, which may include Pharmacy onboarding projects, other client projects, and/or group-wide internal projects.
Handle the issuance and renewal of all franchise agreements. Support the end-to-end coordination of all franchise agreement issuances and renewals across the Wizard Pharmacy Services (WPS) network. Working closely with internal stakeholders—such as Legal, Finance, and Operations—you will help ensure that agreements are prepared accurately and in alignment with current business requirements and regulatory obligations.
Required Skills & Qualifications:
3+ years of project coordination experience, ideally with exposure to process and system improvements.
Proficient in the Microsoft Office Suite (Excel, Word, Outlook, Teams, PowerPoint).
Exceptional organisational, time management, and problem-solving skills, with the ability to manage multiple projects simultaneously and exercise sound judgment.
Excellent written and oral communication skills and the ability to build strong relationships with stakeholders.
A growth mindset and a collaborative, adaptable approach to teamwork.
Desirable, But Not Required
A tertiary qualification or equivalent in project management.
Familiarity with POSWorks, MS Project, or similar project management software.
Experience in the pharmacy sector, including an understanding of the WA Pharmacy Board.
A knowledge of the other state Pharmacy Board requirements would be advantageous.
Other Requirements:
Current Australian driver’s license.
You must have the right to live and work in Australia.
