About the Role
This is a pivotal position in our growing business. As our Business Manager, you’ll work closely with founder Anton Guinea to manage the day-to-day running of the business, with a strong emphasis on executive support and efficient operations. Your core responsibilities will include:
Key Activities
Executive Scheduling & Calendar Management
Coordinate and proactively manage Anton's appointments, travel, speaking engagements, and project meetings.
Ensure time is aligned with priorities, with buffers for creativity and recovery.
Account Keeping & Financial Admin
Invoice creation and reconciliation.
Basic bookkeeping and Xero management.
Coordinating with our bookkeeper and accountant.
General Administration
Manage client onboarding, proposals, contracts, and follow-ups.
Maintain CRM/contact databases.
Handle inbox triage and correspondence support.
New & Current Client Contact
Be the first point of contact for potential clients — responding to enquiries, providing information, and scheduling intro calls.
Maintain relationships with current clients through check-ins, follow-ups, and logistical support before and after programs or workshops.
Ensure a professional, warm, and reliable experience at every stage of the client journey.
Project Coordination
Assist in the delivery of leadership programs and speaking engagements (e.g., collating workbooks, tracking progress).
Liaise with clients and suppliers to keep things moving smoothly.
Operational Oversight
Leading other office staff, as well as Virtual Assistants to achieve project deadlines.
Support strategic planning and help ensure key priorities are delivered.
Assist in business development processes, system improvement, and documentation.
About You
You’re organised, autonomous, and capable of juggling multiple priorities while staying calm under pressure. You enjoy making things run smoothly behind the scenes and love supporting someone else's success.
We’re Looking for Someone Who:
Has previous experience as a Business Manager, Executive Assistant, or Operations Coordinator.
Is tech-savvy and confident using tools like Xero, Google Workspace, Calendly, Zoom, and CRM platforms.
Communicates clearly, confidently, and professionally.
Has a proactive mindset - you spot problems before they arise and solve them without fuss.
Can work flexibly (and independently) while staying connected to the team’s purpose and rhythm.
