The Administration Officer plays a vital role in supporting the efficient operation of our Community Services department. Working in a fast-paced and dynamic environment, the successful candidate will provide high-quality administrative support, manage communication channels, coordinate appointments, and assist with the day-to-day operations of the team. This role requires strong organisational skills, attention to detail, and the ability to multitask under pressure.

Key Responsibilities:

Provide general administrative support to the Community Services team and senior staff

Manage incoming calls, emails, and walk-in enquiries in a professional and timely manner

Maintain accurate records, databases, and client files

Schedule appointments, meetings, and coordinate calendars

Draft and format letters, reports, and other correspondence

Support data entry, reporting, and document management tasks

Assist with preparation of materials for meetings, training sessions, and events

Ensure confidentiality and compliance with privacy and data protection standards

Liaise with clients, external agencies, and service providers as needed

Contribute to continuous improvement of administrative systems and processes

Essential Criteria:

Proven experience in an administrative or office support role

Ability to work efficiently in a fast-paced, multi-tasking environment

Excellent interpersonal, written, and verbal communication skills

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Strong attention to detail and accuracy in data entry and documentation

Demonstrated ability to manage competing priorities and meet deadlines

High level of professionalism, confidentiality, and reliability

Desirable Criteria:

Previous experience in a community services, health, or not-for-profit organisation

Knowledge of client record management systems (e.g., CRM or case management software)

Certificate III or higher in Business Administration, Community Services, or related field
