About Us
We’re a friendly and approachable accounting firm located in Hawthorn, Melbourne, dedicated to providing outstanding service to our clients. As our firm continues to grow, we’re looking for a motivated, detail-oriented Client Services Administrator to join our team, someone who can also assist with reception duties and ASIC-related tasks.
About the Role
This is a varied role and a rewarding position where you’ll be the go-to admin support for our accountants and clients. Your key responsibilities will include:
Communicating with clients via phone and email
Administrative Onboarding of new clients
Collation of annual tax packs for clients
Managing all matters related to ASIC including Annual Company Returns, general client enquiries, form lodgements etc
Management of CAS360
Management of ATO Lodgments
Follow up on ASIC documents from clients, which are required for lodgement.
Preparing and maintaining client records and correspondence
Establishment of all Companies and Trusts with Cleardocs/Maddocks for accountants.
Providing general administrative and office support
Management of databases (APS and Virtual Cabinet).
Reception Duties
Support to Administration and Accounting Team Members
Coordinating catering for staff training
Other ad hoc duties as required

Strong administrative and organisational skills
Ability to manage and have a deep understanding of CAS360 and ASIC requirements
A keen eye for detail and accuracy
Professional and friendly communication skills
The ability to manage multiple tasks and meet deadlines
Previous employment in an accounting or professional services environment is essential
Confidence using Microsoft Office and workflow systems
