The Opportunity
We are looking for a proactive Administration & Customer Service Officer to join our dynamic Infrastructure and Facilities Management team. You will be responsible for providing high-level administrative support to the General Manager and the Infrastructure and Facilities Management team. As the face of the Institute for all visitors, you’ll create an exceptional first impression, delivering warm, professional service that reflects our commitment to excellence.
The successful applicant will be highly motivated, an excellent communicator with the ability to multitask in a high-pressure environment.
How this role makes a difference
As the Administration & Customer Service Officer, you'll be instrumental in ensuring the seamless operation of our Infrastructure and Facilities Management team. You'll be the welcoming face of the Institute, creating a lasting first impression by greeting all visitors with warmth and professionalism.
You will become a valued member of our innovative Facilities Management and Infrastructure team at the Institute. Through this key role, you can contribute to our vision to help people to live healthier for longer, and to stop heart disease and diabetes in their tracks.
How you’ll make an impact
Document and maintain comprehensive administrative procedures and processes across multiple departments including Occupational Health and Safety, Laboratory Operations and other projects.
Develop and maintain comprehensive procedural manuals and workflow documentation, while regularly reviewing them to identify opportunities for improvement.
Support the preparation of reports for senior leadership and deliver comprehensive administrative assistance to the General Manager, contributing to the effective execution of operational objectives.
Provide professional and welcoming front-of-house services ensuring the highest standards of customer service excellence.
Manage phone and email enquiries, direct queries to appropriate personnel, and oversee visitor management systems and protocols.
What will you bring?
You will have:
A relevant degree/qualifications with experience in customer service or administration; or extensive demonstrated experience in customer service/administrative roles.
Excellent communication skills and a professional phone manner, with a proven ability to deliver outstanding customer service.
Excellent interpersonal skills, with the ability to liaise effectively across a diverse range of internal and external stakeholders.
Strong sense of ownership with the ability to follow through on responsibilities and contribute positively to a team culture.
Solution-oriented with strong problem-solving skills and a keen interest in learning new technologies and embracing change.
Excellent planning and organisational abilities, with the capability to juggle multiple priorities and deadlines.
Proficiency in a range of software applications, including intermediate-level expertise in Microsoft Excel and other Microsoft Office programs.
