What's the role?

The Training and Client Engagement Officer at Scouts WA plays an important role in the delivery of high-quality youth programs by providing essential clerical and administrative support for training courses, adventurous activities, and member and client services. Working under general supervision, the officer assists with processing member onboarding and training enrolments, tracking course progress and compliance, and facilitating logistics and documentation to ensure a safe, inclusive and meaningful environment. They also apply effective communication and problem-solving skills to evaluate member and client experiences, gather feedback, and help implement improvements to enhance our impact and service quality across the community.

What is the scope of responsibilities?

Engagement and Support

Address enquiries regarding training-related details, systems, and other queries relating to membership processes.

Proactively contact members and clients from the Adventure Centres, Recycling Centres, and Scout groups to evaluate their experience, gather feedback, and identify areas for improvement.

Collaborate with senior management and internal teams to implement feedback-driven improvements in client services and engagement activities

Support onboarding and integration processes for new members, including transitioning young people to adult membership.

Administration and Compliance

Ensure the accuracy and confidentiality of training data, adhering to organisational policies and regulations.

Oversee the enrolment process for training courses, managing participant lists and ensuring all prerequisites are met.

Action requests received through the Learning Management System (LMS), to ensure accurate records are maintained.

Assist with developing, maintaining and updating documentation for Adventurous Activities, including Standard Operational Procedures.

Ensure the issuance of Scouts Australia Institute of Training (RTO 5443) Statements of Attainment and Qualifications within the timelines required of an RTO.

Collaborate with internal and external stakeholders to ensure the effective delivery of training programs and adventurous activities and compliance with all regulatory requirements.

Assist with any clerical and administrative aspects related to the training program, activities standards, and client and member engagement as reasonable and required.

What skills and knowledge do you need?

Intermediate computer literacy, including Microsoft Office Suite.

Intermediate stakeholder engagement and communication skills.

Intermediate customer service and networking skills.

Intermediate administration knowledge; particularly scheduling, documentation, and tracking. Specific to program-related training highly regarded.

Problem-solving abilities with sound judgement.

Basic database management and experience with Learning Management Systems (LMS) highly regarded.

Basic knowledge of Customer Relationships Systems (i.e. Salesforce) advantageous.

Understanding of project management beneficial.

Working knowledge of state and federal regulation regarding WHS and child safety desirable.

Knowledge of the Scouting movement advantageous.

What experience is necessary?

b) Equivalent expertise gained through previous roles, service, or study that prepares you to perform the required activities.

Pass relevant Child Safety and Vulnerable People Safeguarding checks, including National Police Clearance and Working With Children Check.

Complete and maintain mandatory child safety and WHS training modules.

Satisfy an employment medical evaluation upon hiring, or as requested by management.

Work a flexible roster, including occasional early mornings, evenings, and weekends as reasonable and required.
