Position Description – General Manager
Hours: Full-time. 38 hours per week (5-6 days per week)
Role Purpose
The General Manager at Hampton Bayside Bowls Club Inc (HBBC) is responsible for overseeing all aspects of the club’s operations, ensuring a high-quality experience for members, guests, and the broader community.
This role focuses on bar and hospitality services, general maintenance, event coordination, and community engagement.
The General Manager will also increase function bookings, help drive membership growth and implement general improvements to enhance the club’s long-term sustainability and reputation.
Line management for the role of General Manager is directly to the Chair of the Board of Management.
Key Responsibilities and Tasks
1.0 General Operations Management
• Oversee the daily operations of the club, ensuring efficient service and smooth coordination between bar, hospitality, and events.
• Oversee stock control, supplier relationships, and inventory for food, beverages, and other club supplies.
• Ensure the venues and facilities are clean, well-presented, and maintained to a high standard.
• Implement operational efficiencies to improve service quality and member experience.
• Oversee the co-ordination of volunteers and their Bar rosters.
Specifics include:
• Manage the whole of club Calendar to monitor and assess competing needs and events.
• Meet with the Bowls Committee or Bowls Director monthly.
• Meet with community groups such as Bridge and Mahjong.
• Supervise and auditing the work of the cleaners.
• Monitoring and ordering of all stock and consumables required for all aspects of the club, such as toilets, kitchen, Bar, catering requirements.
• Coordinate all volunteers across the club including bowls related groups, the Bar, grounds, maintenance,
• Financial and Compliance Management
• Monitor and present budgets and progress to the Board,
• Monitor general, and expenses to ensure financial sustainability.
• Oversee cash handling, banking procedures, and submit invoices on time for payment.
• Continue to reduce cash usage across all areas of the club.
• Ensure compliance with liquor licensing, occupational health and safety, and local council regulations.
2.0 Customer Service & Member Engagement
• Foster a welcoming and inclusive atmosphere for club members, guests, and the wider community.
• Respond promptly to emails or calls related to membership, events, functions, and other community group requests.
• Keep updated incident reports at the Bar or across all areas of the Club.
• Keep and maintain first aid reports and accident reports across all areas of the club.
• Address customer inquiries, complaints, and feedback professionally and efficiently.
• Develop initiatives to enhance the member experience and drive club participation to increase membership.
3.0 General Improvements and Maintenance
• With support from the Board, identify and implement facility improvements to enhance the club’s appeal and functionality.
• Work with the club Board and external contractors to maintain and upgrade club facilities, including bar areas and function spaces.
• Ensure all equipment and infrastructure are properly maintained and meet safety standards.
4.0 Community Engagement and Membership Growth
• Liaise with local social and community groups, businesses, and organizations to build partnerships and increase club visibility and utilisation.
• Develop initiatives to attract new members and retain existing ones.
• Promote social membership and drive participation through innovative engagement strategies.
5.0 Function and Event Bookings
• Drive general growth by actively promoting and managing function bookings.
• Develop and oversee an events calendar, including club tournaments, social functions, and corporate events.
• Ensure seamless event execution by coordinating with catering, bar staff, and external vendors.
6.0 Risk and Security Management
• Ensure a safe and secure environment for patrons, staff, and volunteers.
• Manage incident reporting and enforce RSA regulations.
• Manage First Aid
• Maintain emergency procedures and coordinate with security or law enforcement when necessary.
7.0 Staff Leadership and Development
• Recruit, train, and manage a team of bar staff and volunteers.
• Audit and ensure all those working behind the Bar have RSA accreditation and that these are recorded and kept on the premises.
• Develop staff rosters and ensure appropriate coverage during peak times and events.
• Ensure training is provided to maintain high service standards and compliance with regulatory requirements.
• Ensure that stock is managed and ordered in an economical manner and stock sale margin is audited and adjusted accordingly.
• Ensure a clean, tidy, and well organised office space, Bar space and Bar area at all times.
8.0 Additional General Tasks
• To ensure communications including internet, social media, telephones, and emails are being monitored and administered correctly.
• To be familiar with, adhere to, and ensure patrons adhere to the HBBC code of conduct.
• General Growth – Increased bar, function, and membership.
• Cost Management – effective control of expenses and resource allocation.
• Effective Staff and Volunteer Management – High levels of staff efficiency, morale, and service quality.
• Social Membership Growth – Growth in new memberships and member retention rates.
• Member and Community Satisfaction & Engagement – Positive feedback and increased participation in club activities.
The General Manager will play a key role in strengthening HBBC’s position as a thriving and inclusive community hub.

• General Growth – Increased bar, function, and membership.
• Cost Management – Effective control of expenses and resource allocation.
• Effective Staff and Volunteer Management – High levels of staff efficiency, morale, and service quality.
• Social Membership Growth – Growth in new memberships and member retention rates.
• Member and Community Satisfaction & Engagement – Positive feedback and increased participation in club activities.
