About the Role
We’re looking for a highly organised, reliable, and warm Administrative & Client Support Officer to join our growing team. This casual remote role is perfect for someone who loves keeping things running smoothly behind the scenes and is passionate about supporting families in a meaningful way.
While this role starts in administration and client support, there is a future opportunity to grow into a Practice Manager position as we expand. If you're proactive, solutions-focused, and excited by the idea of evolving with the business — we’d love to hear from you.
What You’ll Be Doing
Client & Administrative Support:
Respond to new enquiries and support families throughout their therapy journey
Coordinate and schedule client appointments across clinicians
Prepare and maintain accurate client records, service agreements, and documentation
Maintain friendly, professional communication via phone and email
Accounts & Finance:
Generate and track invoices via Xero (training provided)
Liaise with NDIS plan managers and funding bodies
Assist with reconciling accounts and managing payments
Team Support:
Provide admin support to the Director and therapists (e.g. document prep, scheduling, ordering resources)
Support therapists to deliver quality services by streamlining admin processes
Assist with maintaining team systems, databases, and workflows
Business Operations:
Help implement and refine internal systems and processes
Support the development of marketing content and occasional social media posts
Assist with general business correspondence and stakeholder communication
About You
Experience in allied health or medical administration (NDIS knowledge highly desirable)
Friendly, empathetic, and professional communicator
Comfortable working independently and managing multiple priorities
Organised, detail-oriented, and tech-savvy (bonus if you’ve used Xero, Splose, Canva, or similar)
Fast learner with a can-do attitude
A quiet and well-equipped home office space
Trustworthy, discreet, and confident working with sensitive information
Open to long-term growth and development within the role
Available Monday - Friday (approx. 10–20 hours/week)
