Red Point Psychology & Coaching is an established psychological practice dedicated to supporting individuals from diverse backgrounds. Located south of Wollongong CBD, our vibrant office is nestled near the beach and surrounded by local cafes, offering a welcoming environment.
We are currently seeking a Receptionist/Administrative Assistant to join our team. This role is vital in providing essential administrative support and ensuring the smooth and efficient operation of our practice.
Key Responsibilities:
· Manage confidential and time-sensitive materials with professionalism and care.
· Develop a thorough understanding of Red Point Psychology & Coaching policies and procedures.
· Communicate effectively in person, via phone, and email, ensuring clarity and professionalism in all interactions.
· Complete administrative tasks (including invoicing, reconciliation of accounts and other bookkeeping tasks) accurately and promptly, maintaining the highest standards of service.

Duties include:
· Manage overall administration operations of the psychology practice.
· Provide administrative support to the team, including regular feedback on current processes and practices, as well as identifying opportunities for continuous improvement.
· Oversee the management of all referrals and communications with referrers and other stakeholders (e.g. NDIS, Medicare, Support Coordinators)
· Manage bookings, answer/return calls, liaise with other professionals, respond to enquiries, and manage invoicing and payments.
· Work within and maintain a Quality Management Systems Framework for ongoing Audit purposes
· Develop and update administrative systems to enhance their efficiency by actively participating in the quality improvement processes
· Work autonomously and within a team environment, can adapt quickly to changing workload priorities.
· Undertake accounts payable and receivable duties.
· Enter and manage data within the online client management software (CorePlus)
Key selection criteria:
· Ability to work within a multi-disciplinary team and with other external stakeholders
· Knowledge of office management systems and procedures
· Knowledge of quality management systems
· Proficient in MS Office Computer MS (word, excel, PowerPoint, etc.)
· Knowledge of the operation of standard office equipment
· Must be willing to travel when required
· Understanding of challenges that face people with mental illness and disabilities
· Strong multi-tasking and prioritisation skills
· Attention to detail and problem-solving skills
· Excellent written and verbal communication skills
· Ability to organize and plan
