Be the friendly face and the organised force behind our front desk!

We’re looking for someone who takes pride in making every patient feel welcome the moment they walk through the door. You’ll be the first point of contact — greeting patients with a smile — but your role goes beyond that.

You’ll take full ownership of the reception area, making sure everything runs smoothly so our patients and podiatrists have what they need to stay on track. From answering phones and replying to emails to keeping the schedule flowing and ensuring no detail slips through the cracks — this role is for someone who loves being organised, proactive, and part of a team making a difference.

In your introduction letter please detail your working availability from Monday - Saturday. (we are not open on Saturdays, however may extend our hours in the future).

The position will be a set 3 days per week - Monday, Tuesday and Wednesday. However availability for holiday and sick leave coverage is essential.

About us

20 years locally owned, our company operates out of a well-established location at East Gosford. Our podiatrists work from 3 different clinics, attend 20 aged care and disability facilities, and complete home visits.

We have 6 Podiatrists and a team of 4 support staff. We pride ourselves on providing the best care and service to our patients at all times.

We have very limited staff turnover, as our team enjoys the workplace environment and supportive nature.

The successful applicant will be provided an opportunity to work within a collaborative environment where they will have the ability to showcase their skill set and develop new skills.

Overview of duties:

Be the first point of contact for all visitors to the clinic — creating a welcoming, professional first impression in person, over the phone, and via email.

Take full ownership of the reception area — managing a busy front desk and multi-line phone system to keep the clinic running smoothly.

Book, confirm, and adjust patient appointments to ensure an efficient and supportive schedule for both patients and podiatrists.

Process and reconcile payments, including Medicare, DVA, NDIS, third-party providers, aged care facilities, health funds, and insurers.

Maintain the cleanliness and presentation of the reception area, consulting rooms, and waiting area to a high standard.

Sterilise instruments in line with strict handling and infection control protocols.

Support patients with retail product enquiries and sales.

To be considered for this role, you will need:

Flexible availability during our clinic hours:
Monday & Tuesday 8am – 5:30pm | Wednesday 8am – 7pm | Thursday 8am – 8pm | Friday 8am – 5pm.

Strong attention to detail — you take pride in getting the little things right.

Confidence using technology — while full training will be provided, the ability to quickly learn our practice management system (Nookal) will be highly valued.

Excellent time management and the ability to stay calm and organised when juggling multiple tasks.

A genuine love of working with people of all ages — you can build rapport easily, show empathy, and maintain professionalism at all times.

Intermediate computer skills, including Microsoft Office programs (Word, Outlook, etc.).

The ability to take direction and work as part of a team, while also showing initiative during quieter periods.

A positive, motivated attitude — you enjoy contributing to a friendly, supportive team environment.

An understanding of patient privacy and confidentiality, with a commitment to upholding these at all times
