Job Description:

As an Office Manager at Your Commercial Property Specialist, you will be the backbone of our office operations, providing essential administrative and staff support to ensure smooth and efficient functioning of the workplace.

You will be responsible for a variety of tasks, including but not limited to managing office statutory compliance, agency agreement accuracy, staff job descriptions and performance reviews, ensuring company HR requirements are satisfied, office budget management, coordinating meetings and appointments, and assisting other team members complete their roles and administrative projects as needed.

Key Responsibilities:

Greet and assist visitors, answer phone calls, and respond to enquiries in a professional and courteous manner.

Coordinate and schedule meetings, appointments, and travel arrangements for team members.

Manage office supplies inventory, place orders, and ensure adequate stock levels are maintained.

Assist with the preparation and distribution of correspondence, reports, and presentations.

Maintain and update office records, databases, and filing systems in an organised, efficient and compliant manner.

Assist with basic accounting tasks, such as processing invoices and client reconciliations

Ensure company HR requirements are met and employment contract requirements are satisfied

Ensure staff are supported and receive the training required to carry out their roles efficiently, safely and compliantly.

Ensure the company meets industry standards and regulatory and legal requirements at all times

Support office events and activities, including coordinating logistics and assisting with setup and cleanup.

Support staff in their day to day activities to ensure our clients at the highest level of customer service at all times

Qualifications:

Proven experience in office administration or related field.

Strong organisational and time management skills, with the ability to prioritise tasks and multitask effectively.

Excellent communication and interpersonal skills, with a customer service-oriented approach.

Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other basic office software.

Attention to detail and accuracy in data entry and record-keeping.

Ability to work independently with minimal supervision and as part of a team.

Ability to ensure compliance is maintained at all times

Certificate of Registration or Real Estate Licence ideal, but not a requirement for this role
