The Opportunity: Operations Manager

We are seeking a highly organized and proactive Operations Manager to be the central hub of our agency. This isn't a typical corporate operations role. You will be the linchpin connecting our projects, people, and processes, ensuring the smooth and efficient delivery of amazing work for our clients. Working directly with the leadership team, you will have the autonomy to shape our operational strategy and build the systems that will power our future growth.

🔍 What You'll Do (Key Responsibilities):

Project & Resource Management:

Oversee the master schedule of all projects, ensuring resources (our talented developers and designers) are allocated effectively.

Monitor project progress, budgets, and timelines in collaboration with our project and product managers, proactively identifying and resolving bottlenecks.

Manage our standardised approach to project management tools to ensure consistency and clarity across the team.

Process Improvement & Efficiency:

Analyze our current workflows (from sales handoff to project launch) and identify opportunities for improvement.

Develop, document, and implement streamlined processes that make everyone's job easier and our outputs better.

Champion the adoption of new tools and best practices to boost productivity and collaboration.

Financial Operations:

Manage client invoicing, track payments, and follow up on accounts receivable.

Assist leadership with project budget tracking, profitability analysis, and financial forecasting.

Oversee expense management and work with our accountants and bookkeepers to ensure clean books.

Team & HR Support:

Coordinate the onboarding process for new hires to ensure they have a fantastic start.

Act as a central point of contact for the team, supporting them with administrative and logistical needs.

Help manage team benefits, leave tracking, and cultivate a positive and supportive team culture.

💡 Who You Are (Qualifications & Skills):

Proven experience (3+ years) in an operations, project management, or studio/agency manager role, ideally within a digital, creative, or software development agency. This is key!

A natural-born organizer with an almost obsessive attention to detail.

A fantastic communicator (both written and verbal) who can build rapport with clients, team members, suppliers, and leadership.

You're a proactive problem-solver. You don’t wait for issues to arise; you anticipate them.

Comfortable wearing multiple hats and thriving in a dynamic, fast-paced environment.

You’re comfortable with change and ambiguity, and can manage competing priorities

Financially literate, with experience in budgeting, invoicing, and profitability tracking.

Familiarity with project management software (especially Monday.com) and business tools (like Slack, Google Workspace, MYOB).

An understanding of employment law and the HR requirements of a small/medium business
