Salary Range: $71,252 to $73,490 per annum pending experience (pro rata)
Tenure: Full Time, Permanent OR Part Time, Permanent
Hours: 38 hours per week OR 20 hours per week
Commencing Date: As soon as practicable

About the role
Townsville Catholic Education Office, Kirwan is seeking an experienced and dedicated Reception Coordinator. This role is a Full Time, Permanent position completing 38 hours per week OR Part Time, Permanent (job share) from 8am-12pm or 12pm-4pm and commencing as soon as practicable.
Reporting to the People and Safety Operations Team Leader, the Reception Coordinator will be responsible for the provision of exemplary customer service and for managing the Townsville Catholic Education (TCE) office operations whilst working collaboratively with the Reception team and the wider TCE departments.
The Reception Coordinator is responsible for partnering with the other Administration Assistants within TCE Office, building solid relationships with TCE leaders and other stakeholders to deliver a high standard administrative support.
Key Accountabilities
Deliver exemplary customer service and oversee the entire front office operations which is the main connection between the TCE personnel and the public.
Support a team culture that nurtures and celebrates team success.
Provide timely and professional communication with external parties including the parish offices, schools, venue and other stakeholder.
Organise meetings and records minutes as required.
Provide generalist administrative support to the People and Safety department and the TCE Office including the management of incoming/outgoing mail.
Monitor travel sheets and ensure they are filled out appropriately and timely.
Maintain cleanliness and hygiene in kitchen areas and fridges, including stacking and operating the dishwasher in accordance with workplace standards.
Maintain TCE amenities, supplies, stationery and other resources.
Consult with Maintenance (as needed) ensuring maintenance requests are completed quickly.
Coordinate, maintain and store records (both electronic and hardcopy) in an accurate, timely, confidential manner and produce reports as required.
Assist in monitoring controls to mitigate workplace risks, including compliance risks.
Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the front office.
Other tasks as reasonably instructed by the People and Safety Operations Team Leader.
About you
Experience
Demonstrated experience with the provision of customer focussed and professional administrative, and secretariat support at a high level
Highly experienced in handling enquiries and responding with professionalism, sensitivity and confidentiality to requests for information and complaint management
Knowledge
Knowledge and ability to operate with a high degree of discretion and confidentiality in the performance of all duties
Knowledge of office procedures and requirements necessary to perform administration duties efficiently
Knowledge of standard office equipment i.e. phone system, photocopier, scanner, Microsoft Office and Google suite
Skill
Demonstrated effective interpersonal and communication skills (written, verbal and listening) with both internal and external stakeholders
Ability to work with a range of professionals, including educators, administrators and specialists across TCE office, primary and secondary school contexts
Ability to organise work, manage own time to meet deadlines and be adaptable in response to changing priorities
High level of attention to detail and recognition of the importance of accuracy in all aspects of the work
Ability to show initiative, flexibility, solve problems and contribute to process improvement in a complex environment
Ability to build and maintain productive working relationships with all stakeholders.
Mandatory Criteria
Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
Current Driver’s Licence
MS Suite and Google – intermediate to a high level of expertise
Ability to travel from time to time within the Catholic Diocese of Townsville and to undertake occasional ad-hoc domestic travel as required
Ability to perform the physical requirements of the role in a safe manner.
