About the role
We are on a quest for an executive assistant who is interested in being part of an organisation that wants to make change for the better. This is a remote role – anyone who is based in Australia or New Zealand is welcome to apply. The role is a 12-month full time contract, with potential to extend. What you would be doing in the role will vary but some of the key responsibilities will include:
Provide organisational and administrative support to the Directors and to the Intopia team
Maintaining diaries, scheduling and arranging meetings, actioning responses to enquiries and ensuring urgent matters are dealt with in a timely and professional manner
Drafting and preparing correspondence on behalf of the company
Helping with tasks such as, taking meeting minutes, initiating paperwork or invoicing, maintaining internal documentation and supporting regular reporting
Providing team support in areas such as recruitment logistics, onboarding coordination and maintaining team engagement activities
Carry out other related operational tasks as required to support a high-functioning, collaborative workplace helping deliver on initiatives aligned with Intopia’s strategic business objectives
About you
We are looking for people with interesting backgrounds who can add to the extensive experience of our team. That said we still need you to have certain key skills such as:
At least 5 years’ experience as an executive or personal assistant, or a similar role
Excellent organisational skills with a strong attention to detail
The ability to effectively prioritise and manage competing priorities
Have a proactive approach and be a self-starter
Be tech savvy with a strong background in administrative tools
Strong interpersonal skills and an ability to build strong relationships with internal and external stakeholders
Be confident working in a fast-paced and dynamic environment with a varied workload and multiple deadlines
Be a problem solver at heart with a genuine interest in learning by helping
Awareness of accessibility and disability is an advantage

The salary for the role is $90,000-$105,000 per annum, plus 12% superannuation (subject to experience and location).
