About City of Melbourne

Located on the traditional lands of the Bunurong Boon Wurrung and Wurundjeri Woi-wurrung peoples of the Kulin Nation, Melbourne is globally recognised as one of the most liveable, diverse, and dynamic cities.

At the heart of it all is the City of Melbourne – a passionate, purpose-driven organisation where your work truly matters. As part of Team Melbourne, you’ll help deliver what’s most important to the people who live, work, study, visit and invest in our great city.

We’re proud champions of diversity, committed to continuous improvement, and driven by a shared vision for a vibrant and sustainable future.

This is more than just a role – it’s your chance to make a real impact, contribute to something bigger, and shape Melbourne’s future alongside a collaborative and forward-thinking team.

About the role

We are looking for a dynamic Executive Assistant to provide high-level, confidential, and forward-thinking support to our Chief People Officer.

In this pivotal role, you will enable the CPO to focus on driving transformational cultural and organisational change by expertly managing competing priorities, streamlining daily operations, and most importantly, anticipating her needs before they arise.

You will be a trusted advisor and a proactive problem-solver, with the ability to build strong, collaborative relationships across the executive and leadership teams and through your support, will help shape the future of our workplace culture.

You will

Be proactive and anticipate the CPO’s needs, manage competing priorities, and enable strategic focus through sound judgement, discretion, and initiative.

Serve as the primary liaison between the CPO and internal stakeholders, ensuring timely, respectful, and solutions-focused interactions and correspondence.

Oversee complex scheduling and diary management, coordinate key meetings and ensure documentation, follow-ups, and priorities are well-managed.

Create standout content: draft and polish high-quality reports, presentations, and briefs that inform and influence.

Maintain and improve administrative systems, support budget monitoring and reporting, and lead efforts to streamline workflows and boost operational efficiency.

Foster a positive, collaborative team environment; support onboarding and knowledge sharing while upholding the highest standards of integrity and confidentiality.

About you

You are more than organised, you are intuitive and adaptable and comfortable engaging with stakeholders across the organisation. You’re approachable, collaborative and values driven.

What your experience might look like;

Demonstrated experience supporting an executive in a Personal or Executive Assistant capacity or strong administrative and stakeholder management experience

Ability to quickly develop knowledge of people, culture, and safety matters and apply this to executive support and decision-making

Confidence in engaging respectfully with stakeholders at all levels while maintaining diplomacy, discretion, and professionalism

Strong organisational skills to manage competing demands, anticipate needs, and adapt to shifting priorities with accuracy and attention to detail

Proven ability to produce high-quality correspondence, reports, presentations, and meeting materials

Capacity to work independently, take initiative, and uphold the highest standards of confidentiality, trust, and integrity

Advanced proficiency in Microsoft Office Suite, including Teams, Planner, PowerPoint, and SharePoint, with a focus on continuous improvement

A collaborative, inclusive approach that supports team cohesion and role-models respectful, values-driven behaviour and just a great human

Benefits of working with us

Work closely with a high-impact, values-led leader

Get involved in strategic projects and meaningful cultural initiatives

Join a dynamic team committed to making a real difference

Help shape how we show up and support our people every day

Attractive remuneration & benefits: Excellent pay package with a range of exciting benefits. Flexible working, study assistance & other great corporate discounts.

Excellent leave entitlements: Enjoy up to 20 weeks of fully paid parental leave for primary carers, in addition to the government-funded parental leave, with no waiting period to access. Part-time equivalents are also available for added flexibility.

Career progression: Career development support and opportunities to learn new skills within a creative and exciting environment.

Work-life balance and hybrid working: We support flexible hours, alternative work arrangements (like ADOs), and hybrid work-from-home options.
