About Us:
Oxa Care is a leading residential aged care provider in Melbourne’s north. With a strong focus on resident wellbeing, compliance, and service excellence, we are seeking a highly organised and proactive Quality & Compliance Manager to drive continuous improvement across our facility. This role will suit someone who is not only process-driven but also eager to get involved in day-to-day operations and make a practical difference on the floor.
Why this role exists:
You’ll take ownership of our compliance frameworks, accreditation readiness, and internal audit processes, while also working closely with the Directors, the Executive Director of Nursing and the Operations Manager to support improvements in resident care, service delivery, and staff accountability.
Key Duties & Responsibilities:
Quality & Compliance Oversight:
• Maintain and improve the Quality Management System in accordance with Aged Care Quality Standards
• Oversee internal audits, risk registers, and incident reporting
• Prepare documentation and coordinate for external audits, assessments, and re-accreditation processes
• Monitor legislative and regulatory changes, ensuring policies and procedures are regularly updated
• Facilitate the timely investigation and resolution of complaints and incidents
• Support mandatory reporting processes (e.g. SIRS, restrictive practices, Notifiable Incidents Scheme)
Operational Support & Continuous Improvement:
• Collaborate with Operations Manager to identify gaps in service delivery and propose corrective actions
• Review and monitor care documentation for accuracy, compliance, and improvement opportunities
• Support staff education, onboarding, and ongoing policy awareness
• Assist with roster or workforce audits, ensuring appropriate skill mix and regulatory compliance
• Participate in operational meetings, case reviews, and service planning initiatives
Policy, Training & Reporting:
• Lead the review, development, and implementation of organisational policies and procedures
• Support staff training and internal communications to embed compliance and quality practices
• Compile monthly and quarterly quality reports for management review and Board review
• Assist with data collection, trend analysis, and benchmarking for continuous improvement
What We’re Looking For:
• Minimum 5 years' experience in quality, compliance, or clinical governance (preferably in aged care)
• Solid knowledge of the Aged Care Quality Standards and associated legislation
• Strong audit, documentation, and policy management skills
• High attention to detail and ability to manage multiple priorities
• Excellent written and verbal communication skills
• Critical thinking, analytical, and problem-solving ability
• Must be tech-savvy and familiar with cloud-based systems, digital reporting tools, and care platforms (e.g., Manad, Ausmed, Proda, GPMS Portal, My Aged Care Portal, MOA or similar)
• Ability to work independently and collaboratively across teams, hands on approach
