About Us

Court Services Victoria provides corporate services and facilities to support the performance of the judicial, quasi-judicial and administrative functions of Victoria's courts and tribunal, Judicial College and Judicial Commission.

Collectively, Victoria's Supreme, County, Magistrates', Children's, and Coroners courts, the Victorian Civil and Administrative Tribunal (VCAT), the Judicial College of Victoria, the Judicial Commission of Victoria, and Court Services Victoria (CSV) are referred to as the ‘Courts Group'.

About the Role

Offered on a full-time ongoing basis, the purpose of the Executive Assistant is to provide efficient, high-level administrative and executive support to the Head of Digital and the Senior Leadership Team. This includes diary management, coordinating meetings and briefings, preparing and reviewing correspondence, and facilitating effective communication across internal and external stakeholders.

Duties and accountabilities include:

  • Performing Executive Assistant duties including diary management, inbox management, and coordination of meeting papers and day packs as required, while meeting timeframes and maintaining accuracy and attention to detail.
  • Building and maintaining productive working relationships with internal and external stakeholders, managing competing stakeholder needs to achieve desired results in a timely and professional manner.
  • Contributing to a constructive culture, role modelling constructive values and behaviours and demonstrating a proactive approach to identifying and resolving issues with the ability to work effectively under limited supervision.
  • Providing administrative support for the Digital Leadership team as required
  • Managing all functions of office management, providing specialist administrative and corporate support expertise to the CIO and team by raising purchase orders, organising payment of invoices and following purchasing processes and record keeping in line with the policies, procedures and protocols
  • Monitoring correspondence including emails and workflow to ensure deadlines are met and matters are promptly actioned and prepare general correspondence and emails as required

About You

  • Demonstrated experience in providing support to an Executive Officer / Senior Manager and their leadership team.
  • High level expertise with the Microsoft Office suite.
  • Experience using an electronic document management system to maintain confidential records and filing of reports, correspondence, and related material in line with Government information management protocols.
  • Knowledge of Vic Gov processes including Oracle and Zycus would be beneficial
