Perth Psychologists (www.perthpsychologists.net.au) is a private psychology practice in a warm, fast-paced healthcare environment.

We’re looking for a friendly, reliable, and highly organised Receptionist to become the face of our busy psychology clinic in Cockburn Central. This is a full-time position, available now, that is ideally suited to someone who thrives in a fast-paced environment, loves helping people, and has a genuine interest in mental health support services. This full-time role offers variety and purpose, supporting both clients and clinicians in a professional, well-established business.

About the Role

As our receptionist, you will be the first point of contact for clients and a central hub for communication and coordination. You’ll play a crucial part in creating a welcoming and calm environment while efficiently managing administrative tasks. The role includes a mix of answering phone and email enquiries, while managing front desk and admin support to a team of psychologists. Mornings can sometimes be fast-paced to manage enquiries, coordinate new appointments and process claims, before easing off later in the day. If you like having lots to do and ticking things off your list, you’ll enjoy the pace and structure this role offers.

Key Duties Include:

· Welcome clients and create a calm, professional front-desk environment

· Monitor and respond to phone calls, emails and online bookings

· Schedule psychologists appointments using our online diary system (Halaxy)

· Process intake forms, payments, Medicare and insurance claims

· Follow up on appointment and general requests and inquiries

· Provide efficient and discreet admin support to clinicians and management

· Maintain accurate records and follow clinic procedures

· Keep things running smoothly and maintain a calm, welcoming atmosphere

About You

Essential

· Experience in a customer service role, preferably in a front-desk or reception setting in the medical or allied health field.

· Task-focused with attention to detail and accuracy in all aspects of work.

· Ability to follow procedures and complete tasks in a timely manner.

· Strong organisational and time management skills, with the ability to prioritise tasks and manage competing demands.

· Excellent verbal and written communication skills, with a good command of English, including spelling and grammar.

· Professional, prompt, and friendly customer service skills, with the ability to patiently listen to client inquiries.

· Ability to work independently and take initiative, while also working effectively within a team.

· Problem-solving skills, including the ability to research solutions and resolve enquiries.

· Strong interpersonal skills, able to build positive working relationships with clients, clinicians, and team members.

· Capacity to learn new systems quickly and confidently navigate new processes and information.

· Confident computer literacy, including client management systems, word processing, spreadsheets, and email platforms.

· Willingness to learn and adapt, contributing to service improvement and embracing new technologies, systems, or procedures as required.

· Discretion and sensitivity when dealing with personal or mental health matters.

Desirable

· Experience in a healthcare or allied health environment

· Familiarity with Halaxy practice management software
