As we continue to expand, we are seeking a proactive and detail-oriented Assistant to support our Managing Director in the day-to-day operations of the business.
Role Overview
The Assistant to the Managing Director will play a pivotal role in ensuring the smooth operation of our office and construction sites. This position requires a versatile individual capable of handling a variety of administrative and operational tasks, with a focus on supporting the Managing Director in strategic planning, project coordination, and stakeholder communication. This role requires occasional travel to our regional projects. When traveling you will be responsible for all communication and scheduling.
Key Responsibilities
Administrative Support: Manage the Director's calendar, schedule meetings, and coordinate travel arrangements.
Project Coordination: Assist in the preparation and tracking of project timelines, budgets, and documentation.
Communication: Liaise with clients, subcontractors, and suppliers to ensure effective communication and project progress.
Financial Administration: Assist in preparing invoices, tracking expenses, and managing project budgets.
Office Management: Oversee office supplies, equipment maintenance, and general administrative duties.
Compliance and Reporting: Ensure adherence to safety regulations and assist in preparing compliance report.
Ideal Candidate
Experience: Minimum 2 years in an administrative or assistant role, preferably within the construction industry.
Skills: Strong organizational skills, attention to detail, and proficiency in Microsoft Office Suite.
Communication: Excellent verbal and written communication skills.
Problem-Solving: Ability to anticipate needs and proactively address issues.
Adaptability: Comfortable working in a fast-paced, dynamic environment.
Qualifications: A background in construction administration or project coordination is advantageous but not necessary, we are happy to train the right candidate.
