St John of God Murdoch Hospital is one of the leading private health campuses in Western Australia, and major health care hub in the southern region. Offering 507-beds, services include an emergency department, operating theatres, endoscopy suites, birth suite and maternity ward, medical library and education center.
Your role
You will lead and manage all elements of patient flow through Main Theatres, through the effective management of the Clinical Command Centre function and team. Ensures safe staffing levels at all times.
At St John of God Murdoch Hospital, we have 18 main operating theatres, an angio suite, endoscopy unit and Surgicentre. You will be exposed to the latest in surgical technology, including robotics, and work with some of the highest calibre surgeons in Australia who are usually based onsite in our consulting suites.
Our Clinical Command Centre is the hub that oils the theatre machine, with information feeding into and out of a central location to co-ordinate patient flow, equipment and available beds in recovery and on the wards. Our super-organised CCC Team know exactly where patients are up to on their theatre journey at all times.
The Position
- Provide line management of the Clinical Command Centre Team i.e. Scrub/Scout Coordinators, Anaesthetic Coordinators, Recovery Coordinators and Procedural Services Session Coordinator
- Ensure appropriate workforce levels through recruitment and caregiver retention.
- Management and development of an empowered culture within the team, focused on patient safety & experience, caregiver engagement and service excellence.
- Monitor and address all caregiver performance and/or behavioural issues, including performance management processes if necessary.
- Monitor and take action on all key caregiver metrics including turnover, absenteeism and recruitment gaps.
- Ensure all caregivers in their department are provided with learning and development opportunities and complete all mandatory formation and technical competencies.
- Accountability for financial management of the team within agreed productivity and salary rate targets.
- Ongoing liaison with Duty Manager, Admissions, DPU/DOSA and the wards to ensure patients are ready for theatre within agreed timeframes.
- Lead daily stand up meetings with all patient flow actors, to identify issues and resolve potential problems in advance of them arising, and to actively manage resources including labour and equipment.
- Active monitoring of real time data and case progress to ensure uninterrupted patient flow into and out of Theatres into Recovery and onto wards/ICU/DPU.
- Monitor and take action to resolve overbooked lists and list over-runs, including liaison with VMOs to arrange rescheduling.
- Provide direction to all Scrub Scout, Anaesthetic and Recovery caregivers to ensure optimised patient flow.
- Manage demand for add-ons, urgent and emergency procedures, including answering the specialist hotline.
- Accountable for securing appropriately skilled staff for all lists including add-ons, urgent and emergency procedures
- Oversee allocation of staff to theatres lists by Coordinators and ensures caregiver allocations are confirmed well in advance of sessions
- Responsible for achievement of daily productivity target for Main Theatres through flexible staffing measures.
- Ensures the specialist hotline is available to VMOs at all times.
- Responsible for Theatre Readiness activity (theatres shut down, cleaned, equipment in correct location, set-up for following day)
- Plan activity in advance ensuring to avoid or mitigate potential issues.
- Analyse data, identifies trends and designs solutions to further optimise performance within Theatres and between theatres and other departments/wards.
- Develop VMO relationships, works in partnership with them to optimise processes, list order etc, resolves issues, escalates as appropriate.
You will hold strong communication, negotiation and interpersonal skills, including high analytical and report writing skills. You will have strong critical thinking skills, including experience using data to analyse performance and resolve issues. Management and senior leadership experience with knowledge of contemporary computer information systems, including experience using Microsoft Office is essential to the role.
To succeed you will hold registration with the Nursing & Midwifery Board of Australia (AHPRA) as a Registered Nurse, with extensive experience within the perioperative environment. Flexibility to work morning and evening shifts Monday to Saturday will be required.
