Summary of the Position

Project Support Officer - Community Strengthing - the position provides essential administrative support to the Connections for Wellbeing Program, ensuring the smooth operation of program activities through effective support for project coordination, documentation, communication, and reporting. Responsibilities include scheduling meetings, maintaining accurate records, coordinating internal and external communications, and assisting with program reporting requirements. The role also involves close collaboration with the Community Strengthening Team, contributing to a variety of community-based projects through event coordination, stakeholder engagement, and resource development.

Key Responsibilities

Assist in planning, implementing, monitoring, and evaluating the Connections for Wellbeing Program to ensure alignment with program goals and community needs.

Liaise with partner organizations, ethnic community groups, and clubs to promote the program, strengthen relationships, and maintain effective administrative and communication processes.

Help design, develop, and produce program materials, including forms, handouts, manuals, and promotional content as needed.

Maintain effective connections with community organizations, groups, and individuals—especially those from Culturally and Linguistically Diverse (CALD) backgrounds—fostering trust and inclusion.

Contribute to the ongoing evaluation of program activities by assisting in the collection and analysis of data to assess impact and inform improvements.

Collaborate with other AMCS programs and staff to support integrated service delivery and achieve positive outcomes for clients.

Regularly update electronic systems and databases, including manuals, contact lists, and filing systems.

Perform general administrative duties, such as word processing, drafting correspondence, data entry, and record keeping.

Prepare and distribute program communications, including training information, newsletters, and updates, while maintaining an up-to-date calendar of events and activities.

Support the preparation of monthly reports and other program-specific reporting requirements

Communicate professionally via phone and email with stakeholders, clients, and volunteers, providing information and assistance as needed.

Assist in coordinating and delivering community events and program activities, providing on-site support when required.

Provide team support in the absence of the Program Coordinator to ensure continuity of operations.

Undertake other relevant tasks and duties as required to support program objectives and organizational needs.

Key Selection Criteria

Essential:

Experience working in projects

Experience is essential within group within CALD settings

A friendly and helpful manner.

Ability to communicate with a diverse group of people including staff, visitors and clients.

Knowledge of computer applications involving use of a software packages.

Ability to exercise appropriate discretion when dealing with sensitive matters.

Ability to work with minimal supervision and to organise work and priorities.

Ability to work in a team environment.

Skills and experience in various office administration and clerical tasks.

Experience in switchboard operation and the provision of reception services.

Willingness to learn new skills and flexible to organisational requirements.

Desirable:

Experience in either the Aged Care industry or other health organisation.

Experience supporting people with mental health concerns

Customer service or relevant qualifications or experience

Fluent in spoken and written English.

Current Victorian Driver Licence
