Key Responsibilities
Client Communication: Manage incoming and outgoing communications with clients via email and telephone, addressing inquiries, providing updates, and ensuring a high level of customer satisfaction.
Scheduling: Coordinate and schedule approved works, liaising with clients and contractors to confirm appointments and ensure timely completion of tasks.
Documentation & Data Entry: Generate and maintain accurate records, including purchase orders, job progress reports, and other relevant documentation.
Quoting: Assist in the preparation of basic quotes for glass replacement services, ensuring accuracy and alignment with client requirements.
Interpretation of Construction Plans: Possess capacity to review and interpret construction plans to ensure accurate execution of projects and compliance with specifications.
Contractor Onboarding: Facilitate the onboarding process for new contractors, ensuring all necessary documentation and compliance requirements are met.
Safety Documentation: Generate Safe Work Method Statements (SWMS) and Job Safety Analyses (JSA) to ensure adherence to safety protocols on-site.
Progress Monitoring: Track and monitor the progress of scheduled jobs, providing updates to clients and internal teams as necessary.
Qualifications & Skills
Education: Education in business administration or a related field is advantageous.
Experience: Previous experience in an administrative role within the construction or trades industry is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with TRADIFY software or similar would be an advantage.
Communication: Excellent verbal and written communication skills, with the ability to interact effectively with clients, contractors, and team members.
Organisational Skills: Strong organisational abilities, with a keen attention to detail and the capacity to manage multiple tasks simultaneously.
Knowledge: Basic understanding of construction terminology and the ability to interpret construction plans.
Compliance: Familiarity with safety regulations and the ability to generate SWMS and JSA documentation.
