About the Role

We are seeking a proactive and detail-oriented Office Administration Officer to join our growing team. In this role, you will provide critical administrative support to ensure the smooth day-to-day running of our operations. You will play an essential part in maintaining organisational efficiency, supporting the leadership team, and upholding our high service standards for participants and stakeholders.

A working knowledge of the National Disability Insurance Scheme (NDIS) and its processes is essential for this role.

Key Responsibilities

Provide administrative support across various departments, including scheduling, correspondence, and document management

Maintain accurate and confidential records, both digital and physical

Support NDIS-related administration, including service agreements, participant files, and compliance documentation

Assist with processing claims via the NDIS portal

Respond to general enquiries from clients, staff, and external stakeholders

Coordinate meetings, prepare agendas, and take minutes as required

Assist with onboarding new staff, including document collation and system setup

General office duties such as filing, data entry, stationery orders, and maintaining office supplies

Essential Criteria

Demonstrated experience in an administrative or office support role

Working knowledge of the NDIS, including understanding of service agreements, NDIS processes, and the NDIS Price Guide

High level of attention to detail and organisational skills

Strong computer literacy, including proficiency with Microsoft Office (Word, Excel, Outlook)

Advanced proficiency in Microsoft Office Suite, particularly Excel (pivot tables, formulas) and Word

Ability to manage competing priorities and meet deadlines

Excellent written and verbal communication skills

Discretion and ability to handle sensitive information with confidentiality

A proactive, team-oriented approach with a willingness to learn

Certificate III in Business Administration or equivalent qualification

Must have permanent right to work in Australia

Desirable Criteria

Experience working within the disability, community services, or aged care sector

Familiarity with client management systems (e.g., CareMaster, SupportAbility, or similar)

Current NDIS Worker Screening Check (or willingness to obtain)

Must obtain NDIS Worker Screening Check within 4 weeks of employment offer

Current Police Check (or willingness to obtain)
