About the Role

The Board Support Officer will work with the Board Secretary to support the Games Independent Infrastructure and Coordination Authority’s Board and its Committees.

As the Board Support Officer, you will work closely with the Board Secretary to ensure the effective functioning of the Board and its Committees including the coordination of meetings, meeting logistics, development and timely provision of Board papers, actions and decisions registers, travel, and correspondence management.

In this dual support role, you will also provide a full range of high-level executive and administrative support to the Chair and Board Directors and provide additional assistance to the Board Secretary as required.

The role requires flexibility, including the availability for work outside standard business hours to accommodate board meetings and deadlines.

The role is fast paced and operates in a complex, high-profile and often changing environment.

In joining the Authority, you will join a team of hard-working professionals, dedicated to preparing Queensland for the 2032 Olympic and Paralympic Games.

The salary on offer is between $115,000 and $125,000 per annum commensurate with experience, plus 12.75% superannuation. This is a full-time, maximum-term role for 5 years (with possibility of extension).

The Games Independent Infrastructure and Coordination Authority (GIICA) is laying the foundations for the 2032 Olympic and Paralympic Games and beyond.

Hosting the world’s largest sporting celebration is a privilege that will define Queensland for the rest of the 21st century, driving economic growth, sustainability, connectivity, and healthier, more-inclusive communities.

GIICA will deliver 17 new and upgraded venues, from Brisbane’s Main Stadium to key sporting infrastructure across the state.

About your Responsibilities

Provide a central coordination point for the Board and its Committees, including managing the incoming correspondence for the Board, the Board Secretariat mailbox and the quality assurance and distribution of briefing materials and meeting papers.

Provide executive administrative support to the Chair and all Board Directors including diary management, meeting logistics and travel arrangements.

Coordinate, draft and quality assure Board papers, ensuring they are circulated within agreed timeframes.

Creation and maintenance of key stakeholder registers and email distributions lists related to Board secretariat functions.

Maintain best practice and application of Board policies, procedures, processes and systems for the effective operation of the Board and its Committees.

Communicate and coordinate actions and decisions of Board and Committee meetings, including record keeping, minute taking and ensuring progress against actions is monitored.

Contribute to GIICA’s annual report and performance reporting.

Act as primary coordinator for Board-related records into the Authority’s record management system.

Act as the administrator for Diligent Board Management software.

About You

Demonstrated experience working with Boards and providing executive administration support. An understanding of governance requirements will be highly desirable.​

Well-developed written and verbal communication skills and the ability to build and maintain strong relationships with a complex and senior network of stakeholders.

A passion for accuracy, using your keen eye for detail, including accurate and timely record keeping. ​

Highly organised, with the ability to influence others to ensure deadlines are met.​

Enjoys establishing processes and systems and is experienced working in an ambiguous and complex environment and can be responsive and flexible to changing priorities and needs.​

Demonstrates discretion and maintains strict confidentiality, ensuring that sensitive information is handled with integrity and in accordance with organisational protocols.

Demonstrated ability to assess complex issues and provide well-reasoned recommendations that align with governance principles and consider potential reputational risk.

Ability to adjust work schedules to meet the requirements of the board including working outside standard business hours as needed.
