Auxilium Partners is a progressive chartered accounting firm specialising in business restructuring, forensic accounting and mining advisory looking for a Practice Manager. This new role will ensure the smooth running of the business, allowing our 3 partners and 8 accountants to focus on client work.
We need a full - time practice manager with experience working in a similar role within an accounting or legal practice. Working hours are full time but we are flexible with start/finish times. There is no option to work from home. Our office is in West Perth near trains and buses and there is parking available at market price. This role suits someone who thrives on structure, accountability and continuous improvement.
Finance - 30%
· Oversee invoicing, WIP tracking, and debtor management.
· Support budgeting and reporting processes.
· Bank reconciliation.
· Process staff fortnightly Payroll.
· Process staff super on a monthly basis.
· Reconciliation of firm credit cards.
· Arrange disbursements for client related costs.
· Follow up debtors for overdue invoiced payments.
· Prepare end of month management accounts for Partner review.
Human Resources - 20%
· Prepare and discuss staff monthly admin hours and write-off time reports.
· Provide advice on all HR matters to staff and Partners.
· Assist in the coordination of performance and remuneration appraisals.
· Facilitate the staff induction and training programs-CPD
· Update HR policies and procedures.
· Ensure employee leave entitlements are monitored and up to date.
· Monitor timesheets and productivity plus intervene when/where required.
· Oversee all HR aspects of the firm from recruitment and selection through to staff wellbeing and regularly monitor Fairwork Australia
Marketing / Business Development - 15%
· Liaise with company website developers to undertake upgrades and security checks asrequired
· Oversee website content updates, provide articles for website, make website edits to copy or add images.
· Manage LinkedIn profiles for Partners and Managers as directed.
· Create and facilitate a blog schedule for LinkedIn circulation and website presence.
· Organise print stationery presentation, formatting and supplies, including business cards, letterhead, envelopes and presentation collateral. Ensure all internal and external documentation presents with the correct branding and formatting.
· Create client and staff events including our in-house annual Christmas gift hampers
Business/Reporting - 15%
· Recommend and implement the acquisition of physical assets etc.
· Building & strata management liaison such as lift passes/keys.
· Ensure premises meet the needs of the firm e.g.. air-conditioning, cleaning contractors
· Communicate with external providers asr required.
IT/Systems - as directed by Managers and Partners - 10%
· Implement and update all practice software.
· Manage the firm’s relationship with the firm’s IT service provider.
· Organise telephone and photocopier maintenance.
· Maintain assets lists and organise set up of computer hardware for new staff.
· Monitor all practice equipment and recommend additions as required.
Leadership - 10%
· Manage the entry level team’s workload (4 people) including outstanding items ASIC as directed
· Mentor entry level team members to assist them in fulfilling their roles
· Participate in entry level team member reviews/candidate interviews
What We're Looking For
High level of knowledge in general office administration, accounting and debt recovery processes
Proven experience in practice management, preferably in accounting or law
Excellent time management and organisational skills
Good working knowledge or willingness to upskill to become our AI agent
Capable of workflow and capacity planning within a professional services environment
Has ability to develop and maintain efficient office administration.
Excellent MS Office and general software knowledge. XERO experience will be an advantage
Excellent communication and problem-solving abilities.
High level of ethics and professionalism.
