About this opportunity
Located in Newcastle's CBD, we are seeking a motivated self-starter with strong administration, interpersonal and organisational skills to join our fast-paced team.
The role is permanent full-time and reports to the External Relations Manager.
The External Relations team supports our Employee Assistance Program (EAP) customer organisations and pursues new opportunities through marketing communications and business development. This position is a key member of the team.
Responsibilities include but are not limited to:
Providing excellent administrative support to the External Relations Manager and EAP Coordinator. This may include coordinating meetings, travel, training logistics, workplace services and promptly actioning requests.
Managing EAP awareness resources; creating, proofreading, and formatting reports and promotional materials, including social media posts and monthly news articles for EAP clients, and collaborating with the Training Coordinator to develop leadership video content.
Monitoring the External Relations team’s email inbox and acting as an additional contact for all EAP customer organisations to ensure consistently prompt and responsive service.
Monitoring clinician schedules daily and allocating tasks to ensure effective service delivery.
Providing support with critical incident responses.
Leading the Affiliate Network by sourcing, onboarding, and nurturing relationships with providers to broaden service reach.
Contributing to wellbeing initiatives, including supporting the Make Happy Contagious project.
General
Ensuring that all assigned tasks are completed in a timely and efficient manner, and liaising with internal and external stakeholders.
Willingness to undertake other duties as required.
About you
Bachelor’s degree in a relevant field or working towards completion.
Strong analytical and problem-solving skills to support informed decision-making and strategic initiatives.
Excellent written, verbal and interpersonal communication skills. Innovative thinker with a keen eye for detail.
Experience in building effective internal and external stakeholder relationships.
Highly organised, able to prioritise, multitask, and meet deadlines in a fast-paced environment.
Self-motivated, accountable, and able to work independently as well as collaboratively.
Demonstrate a high degree of discretion and confidentiality.
Proficient in Microsoft Office and workplace databases; familiarity with LinkedIn, Canva, and Vyond (or similar) is desirable.

Remuneration will be paid commensurate with skills and experience.
