Fez Constructions Pty Ltd is a respected construction company based in Marcoola, specializing in residential & commercial projects. Due to continued growth, we are seeking a proactive and adaptable Admin Assistant to join our dynamic team.
Position Overview:
The Admin Assistant will play a key role in supporting the day-to-day operations of the office, assisting with administrative tasks, and ensuring the smooth running of the business. This is a diverse, hands-on role that will see you interacting with multiple departments and tasks, providing support across various areas of the business. No two days will be the same! Key Responsibilities:
Assist with the preparation and processing of documentation, such as contracts, purchase orders, and invoices.
Assist with the preparation of Schedules of Fixtures & Finishes for projects.
Perform data entry tasks, ensuring accuracy and timely processing of information.
Maintain filing systems, both electronic and physical, ensuring that records are organized and accessible.
Coordinate with suppliers, contractors, and clients, handling queries and ensuring smooth communication.
Provide support to project managers, site supervisors, and other team members as needed.
Assist with the preparation and submission of tenders and bids.
Help with preparing reports, presentations, and other business documents.
Ad hoc duties as required by management.
Skills & Qualifications:
Minimum 3 years proven experience in an office administration or similar role, ideally in a construction or trades-based environment.
Advanced computer skills with proficiency in Microsoft Office Suite (Word, Excel & Outlook).
Proficient with Xero & bookkeeping experience is essential.
Familiarity with construction-related software (e.g. Buildertrend) is a plus.
Exceptional organizational skills with the ability to multitask and prioritize tasks effectively.
Strong written and verbal communication skills.
Ability to work both independently and as part of a team.
A proactive, flexible, and solution-oriented approach to problem-solving.
High attention to detail and accuracy in all tasks.
Previous experience in a construction environment or with construction-related processes is advantageous.
