The Opportunity
We're seeking a dynamic Customer Experience Manager / Mortgage Broker Administrator to support our top performing Broker in maximizing lead conversion, enhancing customer experience, and streamlining operations. This is an excellent opportunity for someone who thrives in a fast-paced environment and wants to make a real impact in the financial services industry.
What You'll Do
Lead Management & Client Coordination
Enter and manage leads in HubSpot, creating comprehensive profiles and tracking deals
Proactively contact prospects to qualify interest and schedule broker appointments
Coordinate client documentation requests and follow-up processes
Assist clients with fact-finding and remove barriers to progress
Communication & Relationship Management
Maintain detailed meeting notes and client updates in HubSpot
Keep referral partners informed of client progress and key milestones
Monitor and triage the broker's inbox in coordination with the Customer Success Manager
Send regular follow-up communications to prospects in the pipeline
Digital Marketing Support
Develop and schedule monthly social media content aligned with our brand
Lead content planning sessions and execute posts across multiple platforms
Support our digital presence and marketing initiatives
CRM & Pipeline Management
Maintain accurate deal progression updates within HubSpot
Ensure consistent and professional communication with all prospects
Support data accuracy and pipeline reporting
What We're Looking For
Essential Requirements:
Proven experience in administrative or client coordination roles in a fast-paced, professional environment
Strong communication and interpersonal skills, with confidence liaising with clients over phone and email
Proficiency in CRM systems (HubSpot experience highly regarded) and Microsoft Office Suite
Experience in mortgage broking industry or financial services (preferred)
Social media content creation and scheduling experience
Excellent organizational skills with attention to detail
