About the Role
We are looking for an enthusiastic Bids & Marketing Coordinator with local and national experience to our growing team. Your role will see you supporting Alphazeta’s business development team working closely with Directors, Engineers and Alphazeta’s Clients in the preparation and coordination of high-quality bids, proposals, and marketing materials.

You must be an Australian Citizen/Resident or New Zealand Citizen currently working in Australia as a Bids & Marketing Coordinator in Building Services Engineering to be considered for this role.
Tasks and Responsibilities
Fee Submission/Bid Co-ordination and Marketing
Be able to read, interpret and respond appropriately to requests for proposals, quotations and tenders
Coordinate, bid formats and prepare submissions
Complete pre-qualification and EOI documents
Liaise and correspond with Alphazeta’s Clients
Liaise with internal project engineering teams for technical input and pricing
Follow up with Clients on submissions, seeking feedback to improve future bid submissions
Maintain records of bid submissions win/loss and analyse feedback to improve and inform our team for future bid submissions
Develop new and existing project marketing documentation in line with company objectives
Create, tailor maintain and update key personnel CVs, capability statements and the alike.
Maintain and update our bid library with standard responses, accreditations, project experience, and certifications
Monitor and maintain brand and formatting guidelines across all documentation
Assist with marketing and business development through social media, booking industry events and managing Client events.
Assist with the development and maintenance of the company website
Undertake marketing team meeting minutes
In addition to the tasks and responsibilities above, your role will also support and assist in coordinating:
Project Administration for Project Leads
Assist project teams with project setup and administration
Assist engineers with proofreading and formatting of QA reports, specifications and other technical documents
Provide support to Directors, Associate Directors and Associates
Demonstrated use of Project Management Software for the following:
Project creation and management
Project data input and output for inputting into management reports
Key Skills
Essential:
Strong organisational, administrative and business development skills
Ability to liaise effectively communicate with a range of people
Advanced skills in Microsoft Office (Word, Excel, Outlook)
Graphic design skills/experience of Adobe Creative Suite (InDesign, Photoshop) Strong written communication skills
Experience with updating websites (WordPress, HubSpot)
Ability to work autonomously as well as within a team
Proven ability to take initiative and exercise judgement
Excellent time management skills ensuring deadlines and objectives are consistently met
Attention to detail
Desirable:
Tertiary qualifications in Marketing Communications or related field, or equivalent demonstrated industry experience
2+ years’ experience in a similar role (tender/bid preparation will be highly regarded)
