About the Role – Practice Manager

We’re seeking an experienced and passionate Practice Manager to oversee the day-to-day operations of our growing team and ensure the smooth and efficient running of our clinics. This role is perfect for someone who thrives on building strong systems, leading people with heart, and creating an environment where both clients and staff feel valued and supported.

As the Practice Manager, you’ll be the operational anchor of Unbound Minds—ensuring everything behind the scenes runs seamlessly while contributing to our welcoming and professional client-facing experience.

Key Responsibilities

Oversee and manage daily practice operations across our sites

Complete a daily checklist ensuring key operational items are performed

Ensure exceptional client experience, both in person and over the phone

Monitor workflows and implement process improvements to increase efficiency

Liaise with psychologists to support calendar management and client allocations

Oversee appointment systems, Medicare and NDIS processes, and data entry accuracy

Ensure the practice environment remains tidy, welcoming, and well-resourced

Track supplies and manage relationships with suppliers

Support new staff onboarding and assist with compliance-related admin

What You’ll Bring

2–3+ years in a practice management or senior admin role within a health setting - preferably mental health

Strong leadership skills with emotional intelligence and a people-first approach

Excellent communication and problem-solving ability

Comfort working in a fast-paced environment with competing priorities

Strong knowledge of health software systems (e.g. PowerDiary, or similar)

An eye for detail and pride in delivering high-quality work

A collaborative, solutions-focused mindset
