Compass Immunology Clinics is Queensland’s largest private medical specialist clinic, dedicated to the diagnosis and management of allergy, immunodeficiency, and autoimmune conditions.
As demand for our services continues to grow, we are seeking a reliable and detail-oriented Medical Administration Officer to contribute to the smooth and efficient running of our clinics through high-quality administrative support.
This back-of-house role plays a key part in supporting daily clinical workflows and requires someone who brings professionalism, accuracy, and a proactive mindset to every task.
Key Responsibilities
Accurately manage patient appointment activities, including scheduling, rescheduling, and clinic cancellations
Monitor and action shared inboxes and internal communication systems
Maintain accurate patient records, including data entry and document uploads
Prepare and format medical correspondence in accordance with clinical standards
Ensure timely processing of referrals, results, and supporting documentation
Support the day-to-day operational needs of the clinic, including opening/closing procedures and internal task coordination
Collaborate closely with clinical staff and administrative colleagues to ensure continuity of care
About You
You are a reliable and professional administrator who takes pride in supporting clinical teams and improving operational efficiency. You bring a calm, solution-focused approach to your work and are comfortable managing competing priorities in a high-volume environment.
To be successful in this role, you will demonstrate:
Previous experience in medical administration (highly regarded)
Proficiency in managing appointment schedules across multiple clinicians
Excellent written and verbal communication skills
A high level of accuracy, organisation, and attention to detail
The ability to handle confidential information with discretion and professionalism
Familiarity with medical software such as, Medical Director and Pracsoft (desirable)
A team-oriented mindset with a willingness to contribute across all areas of clinic operations
