About the role

This is a part-time role based in Melbourne (ideally) working from home as an Admin Customer Experience Representative for MK Movement Exercise Physiology. You will be responsible for providing exceptional customer service and administrative support to clients of this leading exercise physiology practice.

What you'll be doing

Providing friendly and efficient customer service to clients over the phone by close of business day for any calls/emails we have received that day.

Handling new client bookings, new enquiries from email inbox, calling new GP Referrals, following up case managers, NDIS support workers, contacting leads from our social media and paid ad campaigns in a professional and timely manner.

Maintaining accurate client records, referrals and data in the practice's management system. This is key as we have 100+ referrals/leads every month and lots of data that needs to be inputted for smooth processes.

Assisting with general administrative tasks and many small and odd-jobs to help reduce burden on practitioners so they can focus on doing their job seeing clients and helping them more.

Liaising with other team members and our virtual assistant (VA) on a daily basis to ensure a seamless client experience.

Contributing to the overall smooth running of the practice. Create less headaches for the director and practitioners and you will be very highly valued and rewarded.

What we're looking for

Current Exercise Scientist or studying to be an exercise physiologist who would like some related work to complement their studies. Or, someone with extensive experience in a customer service or administrative role, ideally in healthcare or allied health (i.e. physio clinic, gp clinic)

Excellent communication and interpersonal skills, with the ability to engage with clients in a warm and empathetic manner. Your job is to convert leads into paying clients. Without good communications skills, this is unfortunately not the role for you as this is what your KPI's will be purely judged on.

Strong organisational and multitasking skills, with an eye for detail. This role can get chaotic and busy at times and you need to be fully prepared for those days to occur. The team will be heavily relying on admin to be completing things fast and on time and correctly.

Proficiency in using computer software such as Microsoft Office/Excel, Google Drive, PDF filler programs, Canva (brownie points) and health practise management software. We use Zanda/Powerdiary. (Extra brownie points if you have used this software in the past).

A genuine interest in health, wellness and helping others. We want someone who practices what we preach which is looking after themselves and staying active. Your passion for movement can be heard in your voice and it's really important we excite our new leads and current clients with how we talk and act.

Basic/Intermediate knowledge within the NDIS system, Workcover insurance scheme, TAC, DVA, Medicare care plan, My Aged Care, Private health Insurance are all extremely desirable as this requires less training for you.

Having a basic/intermediate knowledge on some of our key common health conditions is highly desirable. Example type 2 diabetes, weight management, high blood pressure, ACL, Osteoporosis, Cancer, Osteoarthritis, hip replacements etc... As you will need to ask some specific questions when on the phone to them so you can develop a good rapport and relationship.

Flexible work arrangements to support work-life balance. Important to note that work hours must be within Mon-Friday 9am-5:30pm business hours and Saturday (if you want, between 9am-12pm). We are looking for a minimum of 3 hrs per day on every day of the week. We are not looking for someone who can only work Mon, Wed, Friday. We want someone who can do a minimum of 3 hrs each day x 5 days with flexibility of start and finish time within business hrs... i.e. 1 hr at 9am-10am. 1 hr 12pm-1pm, 1 hr 3-4pm. or 9am-12pm is also okay. 15 hrs per week to start with ability to move to 20-30 hrs part time.
