Business and Wealth Partners Pty Ltd is a well-established Cairns-based Accounting and Financial Planning practice. Due to continued growth, we are seeking a proactive and detail-oriented Administration Assistant to join our friendly team to support our advisors and enhance client service delivery.

POSITION STATEMENT
To support three Financial Advisers and the Paraplanning team with administration and client service support to aid in the facilitation of the Advisers providing advice and reviews to our clients, enabling our Financial Advisers to work efficiently and effectively.
The Administration Assistant plays a key role in supporting our financial planners with administrative, compliance, and client service tasks. This position ensures the smooth operation of the financial planning process, assisting with preparation of documentation, managing client communications, maintaining accurate records, and ensuring compliance with regulatory standards.
ROLE RESPONSIBILITIES AND PRIORITIES
• Contacting clients to organise client meetings and diary management of Advisers.
• Responding to client queries in a timely manner.
• Completing paperwork and administration tasks for advisers including checking and submitting completed forms.
• Managing tasks from the beginning through to final completion, recording progress and providing status updates.
• Accurate data entry (forms, client details, client file notes, spelling, account numbers etc.)
• Data maintenance across various software platforms (primarily Xplan).
• Obtaining financial statements and account reports from various product providers.
• Liaising with our in-house Accounting team for obtaining client tax information.
• Handling sensitive data with discretion in line with privacy laws.
ESSENTIAL SKILLS, EXPERIENCE AND ATTRIBUTES
• Preferred to have qualifications in Office Administration, Business or Finance, but not essential.
• Previous Financial Planning industry experience ideal, but not essential as full training will be provided. Having an interest in the Financial Services field highly regarded.
• Ideally have client relationship management (CRM) software experience (Xplan preferred), but not essential as full training will be provided.
• Excellent organisational and time management skills with ability to prioritise and manage own workflow.
• Accuracy and attention to detail.
• Excellent verbal and written communication skills.
• Competent PC skills (Word, Excel, Outlook).
• Strong interpersonal skills and able to work as part of a team, as well as autonomously.
• Commitment to delivering exceptional service to clients.
• Open to feedback and willingness to learn new skills, processes and technology.
