Melbourne Teaching Health Clinics (MTHC) is a non-for-profit, wholly owned subsidiary of the University of Melbourne and provides world class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high quality health care for members of the Victorian community, within a private practice setting. There are six clinical areas that are central to this service, and they include general medical practice, dentistry, optometry, audiology, speech pathology and psychology. About the Role
We are seeking a welcoming and organised Administrative Assistant to be the first point of contact for clients, visitors, and practitioners across our teaching clinics. This role is vital in ensuring a positive experience for all who attend our clinics, providing high-quality customer service, managing appointments, and supporting the smooth operation of our reception and administrative functions
This role is part-time (0.4 Full Time Equivalent) and salary will be pro-rata accordingly.
Key responsibilities include:
Greeting clients, visitors, and practitioners, ensuring a welcoming and professional environment.
Attending to phone and in-person enquiries, scheduling appointments, and providing information and referrals.
Maintaining confidentiality and handling sensitive information with care.
Processing client payments, issuing receipts, and assisting with financial transactions including Medicare and insurance claims.
Supporting the maintenance and presentation of our reception and waiting areas.
Contributing to a safe and inclusive workplace, adhering to OH&S requirements.
Modelling MTHC’s values in all interactions and contributing to a positive team culture
About you

Essential Selection Criteria
Relevant qualification and/or work experience in front desk customer service environment, healthcare administration or a combination of relevant experience and/or education.
Ability to take direction and work autonomously and collaboratively within a multi-skilled team.
Ability to work in a fast-paced environment by multitasking and prioritising effectively.
Sound interpersonal communication skills with the ability and confidence to relate to a diverse range of people at all levels in the organisation.
Well-developed verbal and interpersonal communication skills.
Demonstrated organisational and time management skills.
Proficient computer skills and ability to use software such as the MS Office Suite, internet and email.
Capacity for constructive self-reflection and learning from actions and feedback.
Desirable
Experience in allied health or medical environments.
Familiarity with EFTPOS, banking, and medical insurance processes.
Experience with client relationship management systems, Medicare/NDIS billing, and private insurance claims.
Awareness of diverse communication needs and willingness to learn new strategies.
