The Role
We’re seeking a highly organised and client-focused Event Coordinator to support our Sales Team. This is a front-line role responsible for managing hire-related inquiries, handling transactional bookings, and providing critical administrative support to ensure a smooth and efficient sales process.
You’ll work closely with the National Sales Manager and Account Managers to keep leads moving, systems updated, and clients feeling supported from their first contact through to event day. If you're detail-oriented, proactive, and love the buzz of the events world, this could be the perfect opportunity.
Key Responsibilities
Lead Management & Client Communication
● Monitor and respond to all incoming CRM leads related to hire inquiries
● Provide prompt, professional responses to clients via phone and email
● Prepare and send quotes using internal systems for standard hire bookings
● Follow up with clients to confirm bookings, collect deposits, and finalise details
Event Administration
● Assist the National Sales Manager with administrative tasks (e.g. proposal formatting, inventory checks, contract updates and quotes.
● Ensure booking details are accurately entered and updated in the CRM
● Liaise with the operations and warehouse teams to confirm item availability and delivery schedules
● Send final event confirmations and schedules to clients as required
System & Process Management
● Keep CRM records up to date with lead status, client notes, and quote details
● Flag any high-value or styling-intensive inquiries and opportunities to Account Managers for escalation
● Maintain document templates, event checklists, and quote follow-up reminders
Team Support & Collaboration
● Work closely with the National Sales Manager to stay aligned on priorities and timelines
● Attend team meetings and training sessions
● Contribute to a positive, team-oriented culture focused on excellence and client care
What We’re Looking For
Previous experience in event coordination, sales support, or customer service
Excellent written and verbal communication skills
Highly organised with strong attention to detail and time management
Comfortable working with CRM systems and managing multiple priorities
Friendly, approachable, and solutions-focused
