About the role

Reporting to the Partnerships and Operations Director, the Events & Operations Coordinator plans and executes events on behalf of GFA. These events are both income and non-income generating and include the co-ordination of Gidget House openings and supporting other events such as the annual Gidget Lunch, Boardroom Lunches, Perinatal Mental Health Conference. This role will also support GFA’s attendance at partner conferences, as required.

Key Accountabilities

• Event Planning and Delivery

Plan and coordinate a range of events including Gidget House Openings, fundraising events (e.g., Gidget Lunch, Rugby Lunch), and relationship-building functions such as Boardroom Lunches and Patron events, ensuring timely and professional execution within budget.

• Internal Awareness and Educational Events

Lead the development and delivery of internal events in collaboration with the People & Culture team to promote awareness and engagement around key topics (e.g., Mardi Gras, World Menopause Day).

• Stakeholder Engagement and Community Outreach

Support service awareness through proactive stakeholder engagement and local outreach activities to promote Gidget House Openings and other services.

• Partner Conference Coordination

Oversee GFA’s presence at partner conferences, including logistics, preparation of materials, stakeholder engagement, and post-event follow-up to maximise partnership opportunities.

• Collateral and Brand Asset Management

Manage the production, ordering, tracking, and stock maintenance of branded collateral and signage, ensuring consistency and accessibility across teams.

• Operational and Administrative Support

Provide administrative support across Partnerships and Operations functions, including scheduling monthly team meetings and coordinating GFA’s annual planning calendar.

Selection Criteria

• Proven event coordination experience, including community, corporate, and internal events, with the ability to manage end-to-end logistics, stakeholder liaison, and post-event follow-up.

• Administrative and operational support experience, including calendar coordination, meeting logistics, collateral stock management, and maintaining systems and registers.

• Strong organisational and time management skills, with the ability to manage competing priorities and deliver projects on time.

• Ability to work both independently and collaboratively.

• Excellent communication and interpersonal skills.

• Ability to build and maintain strong relationships with internal teams, community partners, vendors, and external collaborators.

• Willingness to travel for events, if required.

Terms of Employment

This position is full-time and will initially be contracted till June 2026, aligned to Grant Funding, with the possibility of extension. This position is based at our head office in North Sydney, with the opportunity to work flexibly, subject to organisational needs.
