Key Responsibilities:
Aged Receivables Reconciliation: Monitor and reconcile aged receivables to ensure accurate financial records.
Aged Payables Management: Manage aged payables as needed to maintain good supplier relationships.
Invoice Management: Enter supplier and contractor invoices after receiving approval from staff.
Unpaid Invoices Follow-up: Diligently follow up on any unpaid invoices to ensure timely payments.
End of Month Statements: Prepare and distribute end-of-month financial statements.
Data Transfer: Efficiently transfer data between Simpro and Xero.
Timesheet Preparation: Prepare timesheets for approval, ensuring accuracy and compliance.
Email Monitoring: Monitor and control multiple email accounts to ensure prompt and professional communication.
Simpro Software Utilization: Utilize Simpro software for various administrative tasks.
Supplier Account Setup: Set up accounts with new suppliers and ensure all necessary documentation is completed.
Subcontractor Setup: Arrange subcontractor setup, including necessary paperwork and approvals.
General Administrative Tasks:
Answering Phones: Handle incoming calls with professionalism and direct them to the appropriate departments.
Filing and Record Keeping: Maintain organized and accurate records and files.
Scheduling: Assist with scheduling appointments, meetings, and events.
Correspondence: Draft, review, and send out emails, letters, and other communications.
Office Supplies Management: Keep track of office supplies and place orders when necessary.
Customer Service: Provide exceptional customer service to clients and visitors.
Qualifications:
Previous Experience: Demonstrated experience in a similar administrative or operational role.
Office Management Knowledge: In-depth knowledge of office management systems and procedures.
Time Management Skills: Excellent time management skills with the ability to multitask and prioritize work effectively.
Attention to Detail: Strong attention to detail and problem-solving skills.
Software Proficiency: Proficiency in using Simpro and Xero software is highly desirable.
