We’re a small, family-run business operating in the commercial building and maintenance industry, based in Southern Sydney. As our business continues to grow, we’re looking for an experienced and proactive Office Administrator to join our friendly team on a full-time basis.
If you have previous administration experience—especially within the building, facilities, or maintenance sectors—and are ready to hit the ground running, we’d love to hear from you!
What You’ll Be Doing:
You’ll be working from our office located above our warehouse, handling a variety of administrative tasks that support both our clients and our network of contractors. Your day-to-day responsibilities will include:
· Data entry and job allocation to subcontractors
· Following up on quotes and paperwork from subcontractors
· Assisting the WHS team with compliance documentation
· Managing communications with subcontractors and clients
· Responding to and managing emails via a shared inbox
· Updating and maintaining our job management system
· Providing daily job updates to clients
· Ensuring job timelines are met and completed to a high standard
· General office administration and phone handling
· Supporting the management of the after-hours phone line
What We’re Looking For:
To be successful in this role, you’ll need to bring strong admin skills, a can-do attitude, and the ability to work independently in a fast-paced environment. Specifically, we’re looking for:
· Solid administrative experience (building/maintenance industry experience a bonus)
· Strong communication skills—both written and verbal
· Confidence and assertiveness when dealing with contractors
· Excellent attention to detail and time management
· Intermediate to advanced Microsoft Word and Excel skills
· Ability to work well under pressure and multitask
· Punctual, reliable, and self-motivated
· A friendly, team-oriented attitude
· Own transport (due to limited public transport access)
What We Offer:
· Salary between $55,000 – $65,000 + super (based on experience)
· Supportive and professional working environment
· Monday to Friday hours: 8:00am – 4:00pm (some flexibility available)
· A stable, long-term role with a close-knit team
