At JL Hallam & Partners we are a boutique immigration law firm seeking an experienced administrator to join our team. You will be the first point of contact for clients, taking initial enquiries, sourcing information, requesting and collating supporting documentation and respond to enquires via email and phone.

URGENTLY HIRING - IMMEDIATE START AVAILABLE:

1 x Full-time permanent position - 37.5 hours per week. Monday - Friday, hours of work 8am - 4pm;

Duties and responsibilities include, but not limited to:

Client liaison including Incoming and Outgoing phone calls, email and face-to-face. Taking initial client enquiries and referring to Principal Migration Agent;

Making appointments and managing calendars in outlook, mail handling and record of incoming mail;

Proofreading documents and amending accordingly. Accurately drafting and preparing documentation for visa applications including, but not limited to, initial letters of engagement and cover letters, invoices, statements of service, requests to employer, supporting documentation, relevant Departmental forms, Statutory Declarations and statements, scanning and renaming documents;

Active file management to ensure smooth and consistent preparation of visa applications, including follow-ups by telephone and email and maintaining records in client spreadsheet;

Data entry of applications into Departmental online account;

Maintaining a clean office area;

Ability to work autonomously and with minimal supervision, Strong verbal and written communications.

Experience

Minimum 3 years’ experience in an administration required. PLEASE DO NOT APPLY IF YOU DO NOT HAVE THE MINIMUM REQUIRED EXPERIENCE. We will be completing detailed reference checks.

Skills Required:

Strong verbal and written communication skills

Able to work under pressure with a high level of attention to detail

Able to work autonomously and in a group

Intermediate to Advanced Microsoft Office skills

Must have Provisional or Open Drivers Licence and own vehicle.
