Reporting to the CEO of the West Australian Stolen Generations Aboriginal Corporation (YOKAI) the senior accounts officer role provides oversight of the corporation’s finances & also provides crucial support to the CEO. This position is responsible for ensuring financial integrity and supporting the corporation's mission to serve the community effectively.
Key Responsibilities
1. Accounts Receivable
Generate and send invoices for projects, jobs, and contracts as per agreed terms.
Track grant project milestones and billing schedules to ensure timely invoicing.
Coordinate with managers to follow up any outstanding billables before month-end.
Manage debtor follow-ups and allocate payments accurately.
2. Accounts Payable
Upload supplier invoices for approval workflows.
Prepare supplier payment schedules and submit them to the CEO for review and approval.
Maintain accurate creditor records and manage reconciliations.
3. Purchase Orders
Raise & Issue POs only from approved suppliers
Ensure requisitions are categorised correctly.
Track and log all committed spends in line with grant & project budgets.
Assist in maintaining supplier relationships, including inquiries about pricing, delivery, and order status.
Coordinate with internal teams to understand material requirements and ensure timely ordering.
4. Reporting & Reconciliation
Reconcile transactions monthly and track project expenses.
Generate cost vs. income reports by grant, project & job.
Assist in cash flow forecasting and analysis.
Provide financial insights to project leads and the CEO.
5. Payroll
Process staff timesheets and ensure they are approved before submission.
Submit approved payroll into Xero for processing.
Liaise with managers to confirm time allocations and employee classifications.
6. Compliance
Ensure compliance with relevant laws and regulations, including those specific to Aboriginal Corporations.
7.Strategic planning
Collaborate with leadership to align financial strategies with the organization's goals and community needs.
8.Audit Coordination
Manage the audit process and implement recommendations to strengthen financial controls.
9.Policy development
Ensure the corporation has adequate financial policies and procedures.
10. General Administration
Assist with various general business administration tasks as required to ensure smooth office operations. Onboarding new employees
