Duties and responsibilities
General
Accept and manage work as prioritised and allocated by the Director.
Coordinate and oversee job allocations and scheduling for technicians, ensuring timely and efficient service delivery.
Act as the first point of contact for all incoming communications—phone, email, and in-person.
Review completed job reports for accuracy and completeness and send them to the relevant clients in a timely manner.
Provide administrative support including appointment scheduling, meeting coordination, travel bookings, and event planning.
Maintain and manage office systems, including filing, correspondence, supplies, and equipment.
Handle accounts administration: invoicing, accounts payable/receivable, and bank reconciliations.
Monitor and manage office expenditure and budgets.
Implement and maintain administrative and WHS quality processes and procedures.
Assist with project management tasks and job tracking as required.
Respond promptly to general office and accounts-related queries.
Manage confidential documents and information with discretion and professionalism.
Build and maintain strong relationships with internal and external stakeholders.
Represent the company with professionalism, ensuring respectful communication and high service standards.
