JOB ROLE…

We are seeking an experienced Finance & Admin Officer to support our busy team. Reporting to the Finance Manager, some of your responsibilities will include:

Accounts Receivable Role:

  • Maintain Cashflow
  • Daily Bank Reconciliation of Bank account & processing of receipts
  • Client Invoicing and Statements
  • Daily Invoicing
  • Client Status Reports
  • Data processing
  • Maintain client relationships
  • Liaison with customers to ensure timely collections
  • Obtain Purchase Order / Letter of Intent from clients
  • Attend weekly Job Meeting
  • Collect and issue Progress Claims
  • Issue Client Contracts, Works Agreements and administration
  • Resolve all customer queries
  • New Customer company searches
  • Maintain financial information and notes to all jobs
  • Job costing and financial reporting to Directors, Finance Manager and Project Managers
  • Adhoc reports as requested by the Directors, Finance Manager and Project Managers
  • Maintain Security Deposits, Bank Guarantees and Cash Retentions

Accounts Payable Role:

  • Process and reconcile all company credit card transactions
  • Entering of all accounts payable invoices
  • Obtaining approval for all invoice that cannot be reconciled against a purchase order.
  • Reconciling EOM supplier statements
  • Scheduling of and processing supplier payments
  • Review of entered Purchase Orders to ensure a value has been noted or a cost limit
  • Maintaining spreadsheet for all company properties and utilities
  • Maintaining spreadsheet for all company vehicle fuel expenses and tolls
  • Assist with the preparation of BAS reporting
  • Reviewing of procedure suitability and updating when necessary

Payroll:

  • Process weekly payroll
  • Work cover correspondence and processing
  • Monthly reporting, processing and payments of Superannuation, Payroll Tax, Workcover, Child Support, and any other related payroll compliance.
  • Weekly and monthly reporting of payroll related reconciliations
  • Weekly/monthly adhoc reporting for the Finance Manager
  • Obtain approval of and process GL invoices
  • Complete monthly Labour Analysis report
  • Upload payments to bank
  • Prepare employment contracts and onboarding documents
  • Calculate termination pays

Other:

  • Adhere to core values and conduct all business in a polite, positive and professional manner
  • Demonstrable ability to work within a team environment
  • Maintain the level of administrative support provided to the operational team, including Directors, Project Managers and Finance Manager
  • The accuracy, timeliness and efficiency of maintaining accounting records within your scope of work
  • Ordering of office consumables as required

We require the successful candidate to have minimum 2 years’ experience, the most important requirement is a good attitude. The successful person must be friendly, thorough, professional and able to interact in a positive manner at all times with our customers, suppliers and fellow staff members. With experience in a 'stand alone' position you will be able to hit the ground running. Experience in the commercial or residential building industry would be an advantage.
