As our Administration Assistant, you'll be our behind-the-scenes hero keeping the Higher Education team running like clockwork. You’ll play a central role in supporting both our students and academic staff with tasks ranging from enrolments to exam preparation and orientation.

This is more than just administration, it’s the engine room of the student journey. If you're organised, process-driven, and have a knack for prioritising time-sensitive workloads, this is your chance to be part of a supportive, high-performing team that values clarity and consistency.

What you’ll do

  • Be a trusted point of contact for student queries about enrolments, unit selection, deferrals, fees, and academic timelines — always responding within 48 hours.
  • Process offers, acceptances, deferrals and course changes in coordination with the Admissions team.
  • Keep student records sharp and up to date across our systems (SMS, LMS, Paradigm).
  • Coordinate tutorial scheduling each study period and support academics with timetabling queries.
  • Assist with graduation processing — checking eligibility, issuing completion letters, and preparing documentation.
  • Monitor and follow up on tuition payments in collaboration with Finance.
  • Prep orientation packs for on-campus students and ensure everything is ready before each intake.
  • Support exam and test administration, including printing, invigilating, and managing attendance.
  • Pitch in across the Perth campus — covering reception, setting up classrooms, supporting Learning Support Officers, and more.
  • Process transcript requests and manage shared inboxes to keep student communications running smoothly.
  • Maintain tidy shared spaces like the student kitchen and keep things humming behind the scenes.
  • Contribute to internal process improvements and take on other ad hoc admin tasks as required.

  • Friendly, professional communication skills (email and phone)
  • The ability to work both independently and collaboratively in a fast-paced environment
  • Able to simplify complex processes to ensure efficiency for our students

Experience & Skills

  • Minimum 2 years in an administrative or support role
  • Familiarity with student management systems and/or learning platforms like Moodle will be highly regarded as will prior experience/understanding of the higher education sector, particularly TEQSA, ESOS, or CRICOS
  • Experience supporting international students or working in regulated environments will be a bonus
  • Demonstrated experience in high-quality customer service delivery.
  • Confidence using Microsoft Office suite
