You’ll do this by ensuring our operations are simple, scalable, and consistent - backed by streamlined systems, automated processes, and a culture of accountability and improvement.

Responsibilities:
1. Operational Oversight and Systems Management
Lead the day-to-day operations of BECNTT across all offices and programs.
Ensure smooth delivery of services and programs.
Maintain and continually improve operational processes to ensure consistency, quality, and efficiency.
Oversee ongoing optimisation optimisation of CRM and business operations software, ensuring it supports internal workflows and reporting requirements.
2. Process and Systems Development
Lead the documentation of SOPs (Standard Operating Procedures) across the organisation.
Champion systems thinking and efficiency improvements to reduce bottlenecks and staff workload, implementing automated workflows wherever possible.
Work closely with IT providers and external consultants to ensure systems are user-friendly, secure, and integrated.
3. Service Delivery and Compliance
Ensure all services meet contractual obligations, particularly for government-funded programs.
Track and report on key service delivery KPIs across all programs and locations.
Coordinate internal systems to ensure timely follow-up with clients and consistent client experience across the team.
4. Data, Reporting, and Quality Assurance
Oversee data collection and accurate reporting for both internal decision-making and external stakeholders.
Ensure continuous monitoring of service quality, including client feedback and follow-up procedures.
Maintain a consistent cycle of service improvement through regular review of data and feedback.
5. Project Coordination and Support
Assist the General Manager with rollout of new initiatives.
Provide support in writing and submitting grant and tender applications
Support event logistics and operational planning for programs, services and events.
6. Team Leadership and Support
Support a distributed team of business advisors and administrative staff across Darwin and Alice Springs.
Provide training and onboarding for new staff on systems, workflows, and service protocols.
Coordinate internal communication, ensuring clarity of priorities and processes across the team.
Administer payroll, accounts payable, and accounts receivable functions, assist with budget preparations, and prepare financial reports for management and the board.
Manage job advertisements, onboarding documents, and employee records, ensuring new employees receive necessary training and support.
7. Stakeholder Support
Serve as a key operational contact for external stakeholders, including funding bodies, program partners, and IT vendors.
Work with the General Manager to ensure operational alignment with strategic partnerships and obligations.
Key Selection Criteria:
A high level of software skills (Microsoft Office, including SharePoint) and administration experience.
Ability to quickly gain skill in the use of new systems.
Previous knowledge of High Level or other CRM software advantageous.
Must be able to empathise with all personalities.
A high level of both written and verbal communication skills.
Be able to work within a high performing and supportive team.
Excellent organisational and time management skills to manage multiple priorities and meet deadlines.
Professional approach when dealing with clients in person, on telephone or via email.
