We're in search of a warm and welcoming personality to join our reception team in a permanent capacity.
We're on the lookout for a proactive receptionist to oversee client and pet interactions at our practice. If you possess emotional intelligence, are super organised, process-driven, and enjoy the challenge of navigating unique situations, this role promises to keep you engaged and fulfilled.
As our team expands, we're in need of a new addition who can provide steadfast customer support, upholding our reputation for service excellence. The ideal candidate will bring a cheerful demeanour, a curious problem-solving approach, and an unwavering "can-do" attitude. Attention to detail and being process-driven is essential, because it’s the little things that make all the difference! Our receptionists play a pivotal role in shaping each day amidst its unpredictability, ensuring they run as seamlessly as possible.
Regular tasks for an average day include:
phones – appointment bookings, enquiries, unusual questions, everything in between
emails – filing attachments and reports, replying to and handling enquiries
waiting room management
records management
basic cleaning
greeting and making welcome our clients and their pets
emergency case triage
stock management and ordering
filling prescriptions under supervision
Additional tasks include:
contributing to marketing (website, socials, retail displays, etc)
gathering client feedback and satisfaction reviews
outbound calling to clients for post-surgery check-ins and reminders
implementation of new procedures to help the practice grow and deliver outstanding service and care
supplier invoice management and statement reconciliation
developing and documenting reception procedures
We are looking for someone who will love to be involved with our clients, patients, team and the practice we are building together. We can train the right person in many things. Reception experience in a medical related field is preferred and experience in a veterinary setting is also preferred but not essential.
Our new team member will work on a flexible roster with a minimum of 24 hours per week covering varying shifts from 7:30am to 7pm weekdays. There is scope for half-day shifts on some days for the right person. A regular weekend shift is required (8am – 4pm or 9am – 1pm) shared on rotation with other members of the team, generally one weekend in five. The surgery is open 7 days a week, closed most public holidays and there is no after-hours work.
