Balwyn High School (BHS) is a leading Victorian Government school known for academic excellence and a broad co-curricular offering. The Communications and Administration Officer plays a dual role within our Finance and Administration Team, supporting general school operations while also leading the production of internal and external communications, including our school newsletter, The Lion, and promotional publications.
This position will suit someone with strong administrative skills and an aptitude for visual communication, layout, and storytelling. You will work collaboratively with staff and students to showcase school achievements and maintain brand consistency across all communications.
Key Responsibilities:
Administration
Serve as the first point of contact for visitors and callers; triage queries appropriately.
Provide routine administrative support (mail handling, stock control, filing, calendar support, form processing).
Support the organisation and administration of school events, excursions, and Presentation Night.
Maintain and extract data using CASES21 and other software platforms (e.g., Compass, Excel).
Maintain student and family databases and file staff documents appropriately.
Provide support to First Aid Officer and broader ES team as required.
Other duties as directed by the Business Manager or Principal.
Publications and Communications
Coordinate and produce The Lion fortnightly school newsletter.
Lead layout and graphic design of school publications using Adobe InDesign and other software.
Work with the AV team to coordinate visual content for newsletters and digital platforms.
Collaborate with staff to identify and share student success stories.
Ensure accuracy, proofreading and approval processes for all publications.
Maintain consistent school branding in accordance with school style guides.
Support content updates for the school website and other platforms.
Liaise with printers and external suppliers where needed.

Key Selection Criteria
Applicants must address the following criteria:
Demonstrated commitment to collaboration, continuous improvement and professional learning, and a positive and resilient mindset.
Demonstrated ability to communicate clearly and effectively across a variety of mediums, including written, visual, and verbal communication, with diverse stakeholders.
Proven experience in producing professional publications or digital communications. Proficiency with software such as Adobe InDesign or Canva is highly regarded. A portfolio of work examples may be requested as part of the interview process.
Strong organisational and time management skills, including the ability to balance competing priorities, meet deadlines, and maintain attention to detail in both administrative and creative tasks.
Proficiency in Microsoft Office and a willingness to learn new systems. Familiarity with school administration platforms (such as Compass or CASES21) would be considered an advantage.
